Job Overview:

Reporting directly to the AVP Oncology Services, the primary purpose of the practice manager is to provide overall administrative and operational direction and oversight and management of the day to day operations of the outpatient medical and surgical oncology clinics. Currently this entails 3 clinics with 13 physician/ providers. The position includes overseeing personnel, practice operations, billing, physician, patient scheduling and budget for those 3 clinics. . The Practice Manager ensures that policy and procedures are implemented promptly and efficiently. The Practice Manager collaborates with the AVP, Director of Clinical Services, Physicians, and other staff to provide an inclusive, safe environment for all patients and families.

Qualifications:

Required:

Minimum five years of experience in a medical office clinic setting is requiredMinimum three years of supervisory or management experience required, experience in oncology is a plusStrong knowledge of insurances and benefit coordinationStrong computer skills Ability to adapt to a changing environment and handle multiple prioritiesMust have strong time management and organizational skillsMust have strong oral and written communication skills

Preferred:

Bachelor s degree in health care related field

Essential Functions:

Obtains and accurately documents all demographic informationOversees the day to day activities of all clinic practice-based support staff including but not limited to patient access representative, certified medical assistants, and surgical scheduling for designated disease site teams.Establishes schedules, task assignments and allocation of manpower, space and equipment to ensure conformance with departmental commitmentsEnsure training of new staff and creates a productive medical practice teamFosters collaborative relationships and facilitates continuous process improvement efforts with multiple counterparts including clinicians, staff, and peers across the organizationOversees the coordination of provider templates and scheduling activities in each practice clinic site to ensure that the highest standards of customer service are maintained,Ensures effective scheduling of clinic and treatment visits, clinic, infusion, radiation oncology, and ancillary tests, for most efficient patient flow, and for the most efficient utilization of space and physician timeRecruits, selects, hires, evaluates and recommends disciplinary and personnel actions for staffPrepares, evaluates, analyzes, and presents financial, volume budgets related to assigned areas and monitors for variance,Compiles and monitors statistical data for physician practice, Press Ganey, clinic wait times, visit volume, RVUs, missing charges, etc. to measure operational performanceReviews standardized or customized reports to monitor trends, conduct cross-functional root cause analysis and implement recommended changes as needed in collaboration with administrative directorEducates providers and staff on related revenue cycle activities to ensure efficient processes are being utilized to support billingManages referrals, denials, and collection of co-payments from patients and daily cash depositsTroubleshoots billing problems, investigating root cause and to avoid further billing problemsEnsures compliance of practice, clinic with hospital, Joint Commission, OSHA and other standardsCommunicates and implements RWJBH Somerset policies and procedures in the practices, clinicsServes as an effective liaison with a variety of staff and management in various departments and functions, such as Patient Access, Information Technology, Human Resources, Purchasing, Maintenance, etc.
