The Pre-Service Supervisor is responsible for the overseeing of the daily operations and supervision of non-clinical Pre-Service Coordination staff. This department is responsible for reviewing physician orders, organizing, and coordinating the delivery of requested patient care services and supplies covered under the scope of the patient’s health plan coverage.

The Pre-Service Supervisor is responsible for managing the daily workflow of the Pre-Service queue and employing analytical skills to effectively strategize daily operations. This role ensures that the department consistently meets Service Level Agreement (SLA) turnaround times through the timely processing of orders and requests. The Pre-Service Supervisor plays a critical part in maintaining high standards of service delivery and operational excellence, contributing to the overall success of the department.
Key Responsibilities:
Oversee and optimize the daily operations of the Pre-Service Queue, utilizing data analysis to inform strategic planning.Ensure compliance with SLA turnaround times by processing orders and requests efficiently.Accurately report attendance occurrences and maintain attendance records, updating the monthly schedule in accordance with established protocols.Provide weekly performance summaries to the assigned team, highlighting achievements and areas for improvement.Conduct performance evaluations, offering constructive feedback and implementing necessary improvements.Report critical errors to management and maintain an up-to-date critical error tracker.Provide guidance and support to coordinators in resolving identified issues and barriers, setting clear expectations for daily responsibilities.Assist in planning and monitoring On-the-Job Training (OJT) for staff, ensuring performance standards are met.Timely escalate any issues related to slow document volume within the Pre-Service Queue, following established communication protocols.Facilitate clear communication and feedback between associates and management, ensuring directives are well understood.Act as a liaison between employees and upper management, effectively relaying information and fostering a collaborative environment.Maintain a response time of two hours to address escalated cases from Network, Fulfillment, Pediatric Cases, or other urgent matters requiring operational attention to ensure timely patient care.Ensure adherence to company policies, industry regulations, and safety protocols.Stay informed about organizational training requirements and new initiatives to enhance operational efficiency.Use your skills to make an impact
Required Qualifications
Over 3 years of experience in the healthcare sector, including Durable Medical Equipment (DME), Home Health, Infusion, or other related medical fields.Proven supervisory experience in healthcare settings.Demonstrated ability to effectively manage and supervise a remote workforce.Extensive knowledge and hands-on experience with Medicare, Medicaid, and commercial/private insurance benefits, including medical authorizations and billing procedures.Proficient in Microsoft Office Suite, particularly Word, Excel, and Outlook.Detail-oriented with a strong emphasis on process efficiency and improvement.Capable of making independent decisions to address day-to-day operational challenges effectively.Committed to contributing to an organization dedicated to the continuous enhancement of consumer experiences.Preferred Qualifications
An associate degree in a healthcare-related field.A minimum of 5 years of supervisory experience.Demonstrated experience collaborating effectively with management and leading professionals/specialists.Additional Information
