Preconstruction Assistant
Job Summary:
The Preconstruction Assistant plays a crucial role in supporting the Business Development and Estimating teams by managing the prequalification process for bidding on construction projects. This involves gathering, organizing, and submitting company information to potential clients to demonstrate our qualifications and capabilities. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple deadlines.
Responsibilities:
+ Prequalification Package Preparation:
+ Gather and compile all necessary information for prequalification packages, including company history, financial statements, safety records, project experience, insurance information, and other required documents.
+ Ensure all information is accurate, up-to-date, and presented professionally.
+ Format and organize prequalification packages according to client specifications.
+ Manage and track prequalification submissions and deadlines.
+ Database Management:
+ Maintain and update the company's prequalification database, ensuring all information is current and readily accessible.
+ Track prequalification status and communicate updates to relevant team members.
+ Manage and organize electronic files and records related to prequalifications.
+ Project Documentation Management:
+ Organize and maintain project files, including drawings, specifications, contracts, and other related documents, both physically and electronically.
+ Ensure all project documents are accurately filed, easily accessible, and up-to-date.
+ Manage document control processes, including version control and distribution.
+ Assist with the preparation and distribution of bid documents.
+ Proposal Support:
+ Assist in the preparation of proposals, presentations, and other marketing materials.
+ Coordinate with various departments to gather necessary information for proposals (e.g., project descriptions, resumes, pricing, schedules).
+ Format and proofread proposals for clarity, accuracy, and professionalism, ensuring compliance with client requirements.
+ Maintain proposal tracking logs and databases.
+ Assist with the development and maintenance of proposal templates and boilerplate language.
+ Prepare proposal submittal packages and ensure timely submission.
+ Client Communication:
+ Communicate with clients and potential clients to request prequalification requirements and clarify any questions.
+ Follow up on submitted prequalification packages and track their status.
+ Build and maintain positive relationships with client representatives.
+ Administrative Support:
+ Provide general administrative support to the Business Development and Marketing teams, including scheduling, filing, and data entry.
+ Assist with the preparation of presentations and other marketing materials.
+ Support teams with branded merchandise orders and managing inventory and distribution of branched merchandise.
+ Perform other duties as assigned.
Qualifications:
+ Associates or Bachelor's degree in Business Administration, Construction Management, or a related field preferred.
+ 3-5 years of experience in a related field, preferably in the construction industry, is a plus.
+ Exceptional attention to detail and organizational skills.
+ Strong communication (written and verbal), interpersonal, and time management skills.
+ Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and database management software, including CRM’s (Microsoft Dynamics, Salesforce, etc.)
+ Ability to work independently and as part of a team.
+ Strong work ethic and a proactive approach.
+ Knowledge of the construction industry and prequalification processes is a plus.
