POSITION: Principal General Clerk I BARGAINING UNIT: Nepba 515

Fitchburg Community Justice Support Center JOB GRADE : 15

GENERAL STATEMENT OF DUTIES AND RESPONSIBILITIES:

Performs complex clerical and administrative support in assisting a department head or supervisor to discharge the duties of the office; all other related work as required.

ESSENTIAL FUNCTIONS:[2]Responsible for a variety of projects and activities requiring comprehensive knowledge of department's activities and familiarity with laws, procedures, rules and regulations.

Assists clerical and professional staff as necessary; responsible for ensuring smooth running of daily operations; may review clerical work; assists others with their work; may train clerical staff; fills in for absent clerical employees.

Assists staff, public and other departments in the furnishing of information and resolution of problems; researches questions; handles unusual or difficult situations.

Performs data entry work entering various information and data into the computer system such as State Boards, mittimus data, inmate identification numbers, and other general inmate information; prints information and reports as directed.

Assists department head with special projects and numerous administrative tasks; prepares and types a variety of reports, forms, records, memorandum, correspondence and other materials; performs data and word processing where appropriate.

Performs miscellaneous secretarial duties such as sorting mail, copying materials, maintaining files, scheduling appointments, answering the telephone; performs miscellaneous clerical work as directed such as maintaining statistical records and lists, arranging for transportation of inmates, and reviewing documents for accuracy.

Makes frequent contacts with attorneys, police departments, the general public, other departments, other correctional facilities, state and federal agencies, and representatives of outside organizations.

Performs similar or related work as required or as situation dictates.

Errors could result in delay and confusion, have legal and/or financial repercussions, and cause adverse public relations

MINIMUM QUALIFICATIONS: Education and Experience: High school graduation including or supplemented by courses in typing and secretarial sciences, associates degree desirable; four (4) years of experience in general clerical and secretarial work, with government experience preferred; or any equivalent combination of education and experience. Special Requirements: Ability to become certified in cardiopulmonary resuscitation (CPR). Incumbent may require certification in urinalysis testing. Knowledge, Ability and Skill:

Knowledge. Thorough knowledge of office practices and procedures. Knowledge of general computer applications, helpful. Comprehensive knowledge of the correctional facility’s policies and procedures relating to inmates. Work functions require the exercise of considerable judgment and a broad knowledge of department operations

Ability. Ability to independently make decisions and solve problems. Ability to organize time and work. Ability to deal effectively and tactfully with the public and professional and non-professional staff. Ability to operate various types of office equipment; may be required to operate urinalysis machine.

Skill. Excellent secretarial and office skills. Skill in typing and shorthand. Skill in operating all of the standard office equipment.

Physical Qualifications: Minimal physical effort generally required. Ability to operate a keyboard at efficient speed and view computer screens for extended periods of time. Specific vision requirements include close vision and the ability to adjust focus. JOB ENVIRONMENT: Work is performed under typical office and correctional facility conditions, with little exposure to occupational risks. Has access to department oriented confidential information. SUPERVISION RECEIVED: Works under general direction working from departmental policies and procedures. SUPERVISION EXERCISED: May exercise working supervision over a small number of clerical employees in the performance of routine clerical work.
