The Los Angeles Equestrian Center (LAEC) is a one-of-a-kind, 75-acre property nestled in the heart of Griffith Park, dedicated to the love of horses and the equestrian community. LAEC offers a welcoming space for equine enthusiasts and professionals alike, providing boarding facilities, training arenas, and a calendar of events that range from local competitions to prestigious equestrian showcases. In addition to serving as a hub for horse-related activities, LAEC is also home to various special events, blending the charm of nature with the energy of LA's cultural scene. JOB SUMMARY The primary responsibility of the Private Event Sales Manager is to provide comprehensive support to the Sales Director and private event clients at the Los Angeles Equestrian Center (LAEC). This role involves overseeing and coordinating all aspects of LAEC's private events. The ideal candidate will bring a positive, professional attitude, inspire collaboration across departments, and consistently uphold the highest standards of professionalism. ESSENTIAL FUNCTIONS + Serve as the primary contact for private events at LAEC, acting as the liaison for internal departments teams to provide and determine client needs to make events successful. Coordinates all logistics for private events. + Manage the proper execution of all elements for events including layouts, setup, technical needs, parking, emergency services, food & beverage, guest services, engineering, facilities presentation, broadcasting, media, security, and sales & marketing determining needs and solutions for event success. + Manage post event client walk through, venue clean-up and restoration. + Manages and clearly communicates venue event staffing needs with all necessary internal departments such as food and beverage, operations, maintenance, parking, and guest services. + Gather and create event estimates/costs for clients. + Manage and update all BEOs, distribution for weekly meetings and leading Private Events during BEO/Production meetings. + Prepare and distribute event-day briefing to staff. + Manage all Permit collection and processes (when applicable) + Manage all Venue Contractors (Parking, Security, etc) + Manage post event client walk through, venue clean-up and restoration. + Assists with estimating and reporting event expenses. + Serve as liaison between the local community and ASM Global-LAEC. + Enhances relationships with clients and vendors in effort to provide exceptional customer service and increase probability of future bookings/return. + Organize, facilitate, and conduct production meetings with client, vendors, internal departments, other partners to communicate goals and objectives of assigned events. + Conducts site tours of facility to prospective and/or booked clients. + Ensure contractual obligations and policies are maintained. + Oversees venue contractors to ensure satisfactory work and compliance with ASM Global standards, as directed, while ensuring adherence to contractual agreements, OSHA, and any other applicable safety codes. + Work with finance department on timely and accurate event settlements, including submission of invoices. + Provide outstanding customer service to diverse clients, guests, contractors, vendors, and any visitors. EDUCATION AND/OR EXPERIENCE + A minimum education level of: BA/BS Degree (4-year) or equivalent experience. + A minimum of 2-4 years of related work experience, in special events. + Experience effectively coordinating and planning events. KNOWLEDGE, SKILLS, AND ABILITIES + Knowledge of entertainment event management and/or event operations. + Previous supervisory experience of event staff. + Ability to work both independently and as part of a team environment. + Must be able to work in a fast-paced, high-energy environment and handle high stress situations. + Demonstrate excellent communication skills, commitment and dedication to job duties, promptness, and timeliness . + Ability to be available to work nights, weekends, and holidays, as needed. + Significant skills and aptitude in judgment, proactive problem solving, and resolution of complex issues. + Ability to create strong and cooperative relationships across all levels of a diverse organization. + Read and interpret documents, procedure manuals, floor plans, and instructions for events. + Familiar with event set up, run-of-show, and strike schedules. + Possess an understanding of events industry terminology and services. + Excellent prioritization, organization, and time-management skills, with a high attention to detail. + Remain flexible and adaptable. + Ability to speak clearly, provide instructions and explanations, and listen and understand when communicating with staff, vendors, and clients. + Ability to write and compose correspondence, memos, and reports. + Ability to maintain confidentiality. + Must possess and exude a positive, team-oriented attitude. + Self-starter with a willingness and enthusiasm for taking on additional responsibility. While performing the duties of this job, the employee is regularly required to perform strenuous physical duties that may include, but are not limited to the following: + Move and walk extensively around the facility. + Stand for long hours during events. + Kneel, stoop, reach, crawl and climb to high walkways. + Lift and/or move up to 50 pounds up to 10 minutes at a time. + Perform work through repetitive eye/hand coordination. + Able to balance and have good manual dexterity. + Work inside and outside of buildings. + Experience exposure to adverse conditions such as weather and loud noises. + May occasionally have to enter areas where fumes, airborne particles and toxic or caustic chemicals are present which will require ability to use respirator and/or other PPE. + Ability to walk or otherwise move about frequently for several hours. COMPUTER SKILLS + To perform this job successfully, an individual should have basic computer knowledge and the ability to operate Windows, Word, Excel, Outlook, and other standard office equipment. + The ideal candidate will have familiarity with floor plan software. + Knowledge of CANVA, a plus. HOURS OF WORK AND TRAVEL REQUIREMENTS + Must have the ability to work extended and/or irregular hours including nights, weekends, and holidays in addition to normal business hours.
