Job Description:

The Procurement Specialist is responsible for executing and managing the end-to-end procurement process to support the organization’s purchasing needs. This role involves ensuring timely and cost-effective acquisition of materials, managing vendor relationships, and ensuring compliance with procurement standards.

You’ll make a difference by:

1.       RFQ/RFx Management:

·       Initiate and oversee the Request for Quotation (RFQ) and Request for Information (RFI) processes for sourcing suppliers, evaluating potential vendors, and acquiring competitive quotes.

·       Collaborate with internal teams to define specifications and scope for RFQs/RFxs and manage documentation throughout the sourcing cycle.

2.       Purchase Order Processing and Amendments:

·       Process Purchase Orders (PO) based on Purchase Requisitions from various departments, ensuring alignment with business needs and budgetary constraints.

·       Manage and update PO amendments, ensuring changes are reflected accurately in the system.

3.       Order Confirmation and Delivery Coordination:

·       Confirm all Purchase Orders with suppliers within designated timeframes to ensure acceptance of terms and timelines.

·       Monitor and follow up on order deliveries to ensure materials arrive on time, proactively addressing any potential delays with suppliers.

4.       GRIR Reporting and Discrepancy Resolution:

·       Conduct regular Goods Receipt/Invoice Receipt (GRIR) reporting to track and reconcile received materials and associated invoices.

·       Work closely with finance and suppliers to resolve discrepancies in GRIR reports, ensuring accurate financial records.

5.       Open Order Report (OOR) and Monitoring:

·       Maintain the Open Order Report, tracking the status of all active orders and updating stakeholders on the progress of pending items.

·       Monitor OOR to identify potential delays or issues, proactively addressing them to prevent disruptions.

6.       Query Resolution and Relationship Management:

·       Provide prompt resolution to internal and external procurement-related inquiries, maintaining a high standard of response time to support smooth operations.

·       Foster strong relationships with suppliers and internal teams to streamline communication, negotiate favorable terms, and ensure mutual satisfaction.

Your success is grounded in:

·       The ideal candidate will be detail-oriented, proactive in managing supplier relationships, and able to handle multiple tasks efficiently. They will work collaboratively with both internal stakeholders and external suppliers to ensure the timely and accurate fulfillment of the organization’s procurement needs.

·       3year -5 year of Procurement experience, SCM experience preferred.

·       Bachelor’s degree in business administration, or related field.

·       Proven experience in procurement or supply chain management roles.

·       Proficiency in ERP systems and procurement software.

·       Strong negotiation, communication, and organizational skills.
