Overview JOB SUMMARY: Purchasing Clerk I initiate, prepares, processes, and verifies purchase orders following established guidelines to purchase materials and goods by required delivery dates, interacts with vendors to obtain favorable pricing terms, product specifications, monitor availability, and optimize savings, coordinates with internal teams to ensure that procurement needs are met promptly and efficiently. Responsibilities ESSENTIAL FUNCTIONS: Purchase equipment for internal and client needs, ensuring quality and quantity. Follow up daily on emails, tickets, and quotes for issue resolution. Coordinate communication with Service Delivery Managers for client quotes and invoicing. Measure best value-to-lead time ratio for procurement requests. Facilitate returns and update RMA status and assist accounting with credit memos and unidentified billing charges. Update monthly accounting records and product catalogue. Generate and receive purchase orders. Ensure timely delivery of goods and services. Manage client vendor licensing portals and inform client teams of renewals/expirations. Coordinate with Logistics Coordinator to track inventory and shipment lead times. Monitor and enter data, for billing for recurring monthly charges. Stay updated on industry trends and new products, monitor industry trends for pricing strategies and bulk discounts. Evaluate and negotiate contracts with vendors, manage vendor relationships, and explore new vendor opportunities. Generate monthly reports, analyze data, and suggest modifications. Create and maintain Standard Operating Procedures and maintain vendor documentation. Act as the product specialist for client inquiries. Manage vendor portals for updates and billing. Track office supplies inventory and purchase as needed/requested. Provide support for various administrative tasks as needed, including assisting with internal operations events and facility upkeep. Qualifications QUALIFICATIONS: Bachelor's degree in relevant field or High School Diploma or equivalent and 2 years experience in procurement. Strong analytical skills One (2) year of business-related experience Knowledge of Microsoft office products including Word, Excel, Teams, and Outlook. Outstanding ability to work both independently and within a team environment. Outstanding communications and customer relations skills. Excellent documentation management skills. Strong and diverse technical skills with a willingness to be hands on as needed. Willingness to go “above and beyond” to exceed expectations. Tailors’ communication appropriately within the team, the company, and clients. Exceptional analytical and problem-solving skills. Works well under stress, pressure, and deadlines.
