Job Description Summary

The Procurement Specialist ensures that the items and services to maintain commercial and industrial buildings are purchased from specified suppliers at the best value and are delivered according to agreed terms and conditions. An important aspect of this role is seeking maximum value for the company through time and cost agreements while working with technology advanced products.

Job Description

Interfaces with Facilities, Engineering and Property Managers to plan and prioritize purchasing activities. 

Reviews planned orders, creates requisitions for purchased items, and manages approval process. 

Transmits and prioritizes approved purchase orders and supporting documents to supplier. 

Tracks order acknowledgement, prepares and communicates shortage and backlog reports, and provides visibility of potential interruptions to internal customers. 

Reviews, updates, and maintains purchase orders until they are closed. 

Ensures orders adhere to supplier agreements and contracts; reports nonconformance’s. 

Interface with client property management to resolving reception and invoice discrepancies. 

Identifies opportunities and implements actions to achieve efficiencies. 

Contributes to consolidation, reduction, and rationalization of the local supplier base. 

Managing the development and implementation of procurement initiatives. 

Keep an up to date list with vendors information, pricing for commonly used items 

Routinely shops around to multiple suppliers to get most competitive pricing on supplies 

Provides multiple quotes for items costing over $500. 

Maintain a purchase order spreadsheet for all purchases.  

Interface with suppliers, manufactures, and internal teams to ensure flawless execution and support business goals and objectives

Physical Requirements: 

Regularly required to stand, walk, reach and use arms to perform tasks as well as push and pull objects and grasp with hands. 

Regularly use fingers to type or write as needed. 

Frequently required to sit, stoop, crouch, kneel, crawl, balance, climb stairs and ladders, work at heights and in environments with temperature ranges both while working outside and inside. 

Occasionally required to work around vibration or noise as well as dust.  

Regularly required to lift and/or move up to 20 lbs. and occasionally required to lift and/or move up to 50 lbs. 

Specific vision abilities include close vision, distance vision color vision and depth perception. 

Ability to operate a motor vehicle. 

 

 

Internal and External Contacts: 

This position interacts extensively with tenants, vendors, and contractors, as well other employees within C&W Services and client representatives. 

 

Reporting Structure: 

The Procurement Specialist will receive supervision and direction from the Account Director, Project Manager, other management staff and Property Manager.  

 

Qualification Requirements:   

Bachelor's degree desired; certification in inventory management or purchasing a plus 

Strong aptitude with Microsoft Office Tools; Angus system experience required, Nexus experience is a Plus.  

Three to five years MRO procurement experience. 

Experience and familiarity with inventory control, receiving, and shipping processes 

Experience in developing and managing suppliers 

Strong interpersonal, verbal and written communication skills 

Strong analytical, negotiation & problem-solving skills 

Self-starter and self-motivated; successful in a team environment 

Team-player

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.


The company will not pay less than minimum wage for this role.


The compensation for the position is: $59,500.00 - $70,000.00
