Job Description
This role will support the scoping, sourcing, contracting, and ongoing management of operational expense vendor partners that perform services throughout our client's real estate portfolio. Through execution of their new program, they aim to secure preferred rates for both regular and as-needed services, with a streamlined network of highly qualified vendor partners. The candidate must have excellent procurement, project management, program management, and communication skills.
ResponsibilitiesLead procurement sourcing processes, overseeing all procurement requests, including quotes, proposals, bids, etc.Manage the bid posting process by preparing and publishing all required notifications, overseeing and maintaining postings on BidNet Direct, coordinating bid timelines, monitoring vendor submissions, and facilitating communication with vendors regarding bid status and updates.Evaluate and select vendors based on their capabilities, performance, pricing, and consistent quality assurance, in compliance with purchasing and financial policies.Communicate with vendors to reconcile price, quantity, or other discrepancies between requisition and invoice.Build and maintain vendor relationships, responding to vendor inquiries in a timely and professional manner.Manage and update contracts within the financial system to ensure accurate tracking and compliance with organization policies and procedures.Oversee and manage contract scope, ensuring proper approvals are obtained for change orders prior to authorizing additional expenditures.Assist in preparing purchase orders and contracts, ensuring accuracy and proper documentation.Draft contracts and documents, review and guide the development of contracts, amendments, interagency agreements, and grants.Negotiate and draft contracts and purchase orders, reviewing terms and conditions to ensure compliance with policies and regulatory requirements.Monitor and create reports to track and analyze vendor pricing and quantity variances from requisitions to invoices.Track expenses, following up on expenses submitted without receipts or missing documentation for internal controls and processing.Identify and reconcile discrepancies by working directly with vendors or internal teams to resolve issues.Ensure timely documentation submission; assist business owners with submitting required documentation, including timely receipt processing.Remain current on federal, state, and local procurement regulations; maintain accurate and comprehensive records for audits including contracts, bid documentation, purchase orders, etc.Ensure adherence to procurement policies; review and update procurement policies as needed.Provide training or resources to employees on procurement policies, tools, and procedures; help create solicitation documents, including Invitations for Bid (IFB) or Requests for Proposals (RFPs); assist staff with Scope of Work (SOW) development, reviewing, and providing guidance on purchase orders, contracts, amendments, and agreements.Assist business owners in inputting requisitions; respond to queries in the general Finance inbox.Provide other Finance administrative support as needed.Essential SkillsMinimum of 3+ years of related work experience, including sourcing and procurement experience such as supplier selection, negotiations, contracting, supplier management, program development, and business partner management.Strong project management skills and experience working on cross-functional projects with a diverse group of stakeholders.Strong negotiation skills and ability to manage complex deal structures.Advanced analytics skills including the ability to synthesize large data sets into summaries.Possess a data-driven mentality to back up decisions with compelling data.Demonstrated ability for independent thinking. Proven ability to plan proactively, anticipate issues, and have excellent problem resolution with little assistance.Strong interpersonal, verbal, and written communication skills.Ability to travel on an as-needed basis.Experience with complex procurement categories that includes rationalizing spend and consolidating vendors.Additional Skills & QualificationsBachelor's Degree in Supply Chain, Logistics, Business Management, or a related field.Knowledge of commercial real estate operations.Experience in operating expense categories such as landscaping, parking lot sweeping, site security, and fire light safety.Work Environment
This is a hybrid role with 2 days in the office (Wednesday/Thursday) and 3 days remote. The ideal candidate should be based in Denver. This role offers growth opportunities to own specific categories/services once fully operational. The work environment is flat with no strict chain of command, requiring strong communication skills both up and down the hierarchy. Initiative-taking, accountability, and problem-solving are key attributes for success in this role.
Pay and Benefits
The pay range for this position is $35.00 - $45.00
