Production Assistant
Description Job Description: The Production Office Assistant supports the production team by handling administrative tasks, managing active projects, and assisting with show logistics. This role demands excellent organizational skills, attention to detail, and the ability to juggle multiple tasks in a fast-paced environment. Key Responsibilities: Administrative & Office Support: + Word editing, data entry, and email correspondence + Filing and organizing documents + Managing mail, shipping, and FedEx + Ordering office supplies and coordinating F& B for meetings + Coordinating personal vehicle use for supply pickups/deliveries + Distributing mail and answering phones + Creating FedEx labels and arranging pickups Active Projects & Production Support: + Attending production meetings, taking notes, and sharing with the team + Managing job sheets, folders, and job numbers + Assisting in developing Statement of Work and Production Schedules + Admin support for the production team, including Show Book updates + Booking travel, maintaining grids, and contact sheets + Managing shipping of equipment for shows with producers + Proofreading proposals and version control of schedules/documents + Conducting internet research for projects + Managing files on the CKC network and client sites + Designing graphics for webcasts and presentations + Assisting with props, staging vendors, and managing booking agreements + Securing Certificates of Insurance for venues + Managing guest speaker contracts Post-Show Support: + Posting final files to the network and organizing media + Restocking supplies and managing client site file postings Marketing & Website: + Managing website vendor relationships and updates + Handling website assets, including images and branding + Assisting with social media management and LinkedIn articles + Creating and managing digital/print marketing materials + Researching potential clients and industry involvement opportunities Accounting & HR: + Monitoring accounts payable emails and routing invoices + Managing vendor documents (COIs, W9s, background checks) + Assisting with Workers Comp audits and 1099s + Coding American Express/Visa bills and filing receipts IT Support: + Assisting with IT vendor relationships and office equipment + Managing Microsoft 365 accounts, licenses, and setup + Ensuring cybersecurity and virus protection + Managing software subscriptions (8x8, Adobe) and office account info The Production Office Assistant works closely with the production team, ensuring smooth operations throughout all stages of production. Strong communication, multitasking, and problem-solving skills are key to success in this role. Requirements • Possess strong skills in coordinating events, with a proven track record of managing successful occasions. • Have experience in managing corporate events, demonstrating the ability to handle logistics, liaise with vendors, and ensure smooth operations. • Show strong organizational skills and attention to detail. • Demonstrate good communication and interpersonal skills for effective collaboration with team members. • Be able to work under pressure and meet tight deadlines. • Have a proactive attitude and be able to take initiative when required. • Exhibit problem-solving skills and the ability to think on your feet. • Show commitment to maintaining high production standards and continuous improvement.
