Production Coordinator

Summary

ASM GLOBAL, the leader in privately managed public assembly facilities, has an excellent and immediate opening for the Production Coordinator. The ASM Global Stockton facilities include Adventist Health Arena and Bob Hope Theatre with a total venue seating capacity of 10,000+. These venues host events such as concerts, sporting events, family shows, theatrical productions, and more.

The Production Coordinator will be responsible for coordination of all production preparation and aspects related to the facilities.  Acts as liaison between the facility and clients, ensuring all clients’ requirements are met and facility rules, regulations and policies are adhered to. Individuals will also coordinate and maintain administrative projects developed by the Director of Operations as they relate internal communication and guidelines applied to overall event production and customer service communication.

Essential Duties and Responsibilities

Serve as a primary liaison between client and facility/departments.Communicate and meet with groups to plan and organize assigned meetings and/or event to obtain necessary technical requirements and other event related information.Guide clients in preparation of events by interpreting and explaining contract provisions, policy and procedure.Inspect buildings and specific meeting areas to evaluate suitability for occupancy, considering such factors as air circulation, lighting, location, room size, and event requirements.Ensure that the production equipment, physical set-up and personnel provided meet the requirements of the event and the tenant’s contractual agreement.Monitor in-house events; maintain close contact with clients and facility staff to ensure a successful event. Follow-up on all client requests, concerns, and problems.Develop assignment schedules for all staffing requirements for the proper presentation of event.Assist with monitoring performance of all production staff.Provides clear, concise and timely communication of detailed production requirements to all departments.Ensure all pertinent information is obtained, compiled in event files and distributed to proper entities.  This includes but is not limited to compiling, filing, and distributing medical service reports, incident reports, ejections, arrest, parking lists, staffing schedules and attendance reports.Properly manage and maintain detailed event folders.Prepare cost estimates and monitors final billing.Develop/update and maintain in-house communication forms (electronically and master copies) as well as weekly and monthly calendars and other documents for quick reference and distribution.Work irregular schedule to ensure proper supervision of all events and activities scheduled in the facility, as required.Oversees and maintains all Audio/Video production equipment at ASM Global Stockton facilities.Leads coordination with tour managers/promoters for all event advances of Bob Hope Theatre.Coordinates and supervises the local IATSE part-time employees at Bob Hope Theatre during conversions, show calls, and daily operations with ability to supervise large groups and/or many small groups at the same time.Leads production coordination for each event at Bob Hope Theatre.Oversees production team for sounds, lights, stage sets, conversions at Bob Hope Theatre.Coordinates production details for Adventist Health Arena and Bob Hope Theatre events to cover all event production needs of the tour/show including staffing and patching to house audio and video systems.Other job-related duties may be assignedReports directly to Operations Events & Securities Manager.

Supervisory Responsibilities    

This position will supervise all production staff at ASM Global Stockton facilities.

Education and/or Experience  

Bachelor’s degree from an accredited four-year college or university and one (1) year related experience and/or training; or equivalent combination of education and experience.  CAD experience preferred.

Skills and Abilities

Possess knowledge of the principles of facility management, building operations, maintenance, practices and safety requirements.Coordinate and satisfy the requirements of multiple events occurring simultaneously.Operate audio/video and lighting production equipment.Respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.Work independently, exercising judgment and initiative.  Work effectively under pressure and/or stringent schedule and produce accurate results.Maintain an effective working relationship with clients, employees, exhibitors, patrons and others encountered in the course of employment.Operate a personal computer using Windows, Microsoft Office software and event software such as CAD.Define problems, collect data, establish facts, and draw valid conclusions.Good written, verbal and computer skills.Ability to multi-task, stay organized and prioritize work to meet deadlines.Follow oral and written instructions and communicate effectively with others in both oral and written form.Remain flexible and adjust to situations as they occur.Work in a fast-paced environment.Be licensed and insured to operate a motor vehicle in the United States.Ability to work long and irregular hours that may vary due to functions and may include day, evening, weekends and holidays.

Computer Skills

Operate a personal computer using Windows, Microsoft Office software and event software such as CAD.

Compensation

The salary range for this position is $68,640 -$70,500 annual salary is dependent on experience.
