We are headquartered in Indianapolis but we support federal agencies across the country. Our current team includes alumni from the largest consulting firms and government agencies providing solutions to clients such as Defense Finance and Accounting Service, US Navy, US Air Force, US Army, Dept. of Homeland Security, and several others. Administrative Support Services for the Disability and Health Promotion Branch (DHPB) in DHDD + Provide administrative support services to the Branch and three teams. + Provide operational support to Branch scientist in support of programs with national and state grantees (i.e. taking notes and setting up the Skype lines for meetings) + Coordinate with Division Secretary on telephone coverage across the division. Answer telephone (including main rollover line), process telephone request, take messages, and deliver to the appropriate personnel. + Direct visitors and callers to the appropriate personnel. + Process incoming and outgoing mail via U.S.P.S., and/or FedEx. and distribute to the appropriate staff. + Provide logistical support to DHPB with on-boarding of new personnel, including FTE, fellows, and interns, obtain documentation of fingerprinting, security checks, ID Badges and cardkeys for new and current staff members and visitors, and input requested data into approved systems including Zintellect. + Submit IT support requests for new and current staff members. + Make copies and prepare MASO reprint requests for large copy jobs, copy and collate meeting information packets, prepare name tags for meeting attendance. + Scan documents and reports as requested in support of branch and team activities as requested + Upon request, enter data into various databases supporting branch activities. + Prepare products using Microsoft Office such as Outlook, Word, Excel, PowerPoint, etc., + Request copies of publications, as requested. + Maintain files and Records Management log for the Branch, upon request, prepare files to send to the records center for permanent storage. + Serve as the Time Clerk for program/team- processing staff records for time and attendance (including maintaining leave requests, travel comp time, etc. + Secure CDC conference room space for division and team meetings. + Develop and maintain spreadsheets to respond to requests for anticipated travel, conference attendance, training, etc., and prepare paperwork to in-process domestics and international individuals (Visitors, fellows, contractors, FTE’s) through CDC clearance/badging procedures, to include international visitor’s submission forms. + Input training requests into mainframe and prepare domestic and international travel orders and travel vouchers from staff notes, forms, and receipts. For international travel prepare the international cable and NFT cables. + Make airfare and lodging travel reservations and secure tickets for DHDD’s branch staff. + Prepare and submit modification of multiple Traveler submission emails for conferences to NCBDDD/Resource Management Office (RMO). + Monitor inventory (supplies and office equipment), process supply and equipment purchase and requests; and request maintenance/repair services. + Input and process purchase requisitions, including modifying requisitions and changes made during the approval process.
