Job Summary:                                                   

CASES is seeking a Program Assistant to join the Intensive Services Unit (ISU) team. This integral role involves providing administrative, fiscal, and billing support. The Program Assistant ensures the team’s smooth and effective functioning by collaborating closely with the Team Leader, maintaining communication within the ISU team, and supporting the team’s administrative and billing tasks with flexibility, team spirit, and strong organizational skills.

The Intensive Services Unit initiative will implement innovative approaches to working with individuals who have been placed in the Supervised Release Program and experience more extensive needs and challenges that may impact daily functioning and overall program engagement. The ideal candidate for this position will work well as part of a team actively assisting all team members. The focus group of program participants manage challenges in mental health, substance use, employment, education, and medical health. The team promotes proactive, sustained engagement in the community as a catalyst to individual transformation by bridging participants to community partners and resources eager to support our participants in realizing their greatest potential. 

Salary: The salary for the Program Assistant role is $47,500 per year. 

Shift Hours: The Program Assistant role is full-time working Monday through Friday from 1:00 pm to 9:00 pm.

What you will be doing: 

Monthly Order and delegation of phones including maintaining relationship with phone vendor.Receive and screen telephone calls and answer program inquiries via phone, email and mail. Provide triage support and direct assistance to program participants as needed.As assigned by program leadership, assist with the scheduled system of appointment reminders, to help ensure participants receive timely notification of upcoming supervision contacts and court appearances.Perform data entry to enroll participants in Supervised Release, including legal information, demographic information, enter appointment attendance and other program information into the database as needed, ensuring accuracy. Enter participant data into the database including pretrial supervision track, compliance with supervision appointments, re-arrest information, and case outcomes.Complete and prepare for submission compliance documentation needed for the District Attorney’s Alternative Sentencing Office, judges, and the Criminal and Supreme Court Compliance and All-Purpose Parts. Run demographic reports and retrieve other program data from databases for reporting purposes using excel pivot tables.Complete database quality assurance audits to ensure program data is entered according to program standards and timeliness.  Generate program data needed for monthly billing reports and ensure its accuracy.   Act as program petty cash custodian and manage petty cash accounts. Complete re-arrest checks using the CRIMS system and provide quarterly data to Strategic Planning and Analysis unit.Provide specific administrative and program support to other members of Intensive Services Unit supervisory staff as needed, including scheduling meetings, assisting in set-up and preparation for special events, literature search, photocopying, and compiling materials.  Provide culturally competent services in accordance with CASES policies and practice.Complete any other duties as required by the Intensive Services Unit Team Leader and supervisory staff.

Associate degree or High School Diploma/HSE with 2-3 years' experience Excellent organizational skills and attention to detail Excellent verbal and written communication skills Respect for confidentiality Strong interpersonal skillsHighly proficient in word processing and spreadsheet applications (MS Word, Excel), experience with PowerPointMust be a self-starter and able to work independently
