Program Assistant

This position provides administrative assistance to the Dean’s Office in the College of Pharmacy and Health Sciences as well as budget, assessment, and curricular operations of the Doctor of Pharmacy Program and to support the operation of the Pharmacy Practice Department. 

Provide administrative and logistical support to the chair of the Department of Pharmacy Practice by providing comprehensive administrative assistance to the chair of the department, coordinating department hiring arrangements and assisting with the on-boarding process, maintaining organized department personnel records and processing leave reports, communicating and collaborating with faculty, staff, students, and external stakeholders to facilitate seamless departmental operations, and overseeing departmental budget.Support assessment needs of the Doctor of Pharmacy Program by supporting the work of the Assessment Committee, collecting curricular and programmatic data and updating assessment reports, collecting academic performance data for individual students, distributing and providing data for the American Association of Colleges of Pharmacy (AACP) surveys, and managing online testing software.Support curricular needs of the Doctor of Pharmacy Program by supporting the work of the Curriculum Committee, collecting data to generate early warning letters for students in academic difficulty, entering course schedules and instructors into the appropriate systems, performing audits of students’ curricular completion. Support the day-to-day operations of the College of Pharmacy & Health Sciences Dean’s Office and Doctor of Pharmacy Program by greeting and directing visitors, serving as the primary point of contact for the administrative suite for students, faculty, and external constituencies, arranging exam proctoring for pharmacy students, reserving rooms for meetings and/or exams, providing website support for Pharmacy, assisting with interview days and special events as assigned, and assisting with exam questions input and mapping, making copies, proofreading documents, typing documents, maintaining office supplies, troubleshooting the copy machine, distributing correspondence, and managing office functionality needs.Manage and maintain budget. Function as assistant budget manager. Prepare and process accounts payable, credit card statements, reimbursement forms, purchase orders, and budget transfers. Create and propose budgets for each fiscal year, and prepare data using operating systems (Banner, Argos, Purchasing system, etc.).The above statements describe the job's essential responsibilities and requirements.  They are not an exhaustive list of the duties that may be assigned to job incumbents.
