The Program Assistant provides clerical, organizational, and patient contact support in our Center for Supportive Services. They are responsible for data entry and administrative support for the People Aging with HIV (PAWH) and the HUD Housing First programs, as well as assistance with patient navigation and grocery bag preparation for the RWB program. The Program Assistant reports directly to the Director of Housing Services who, in concert with the Senior Director of Supportive Services, determines the specific responsibilities of this position. These responsibilities may be revised, as necessary, with proper notification and training provided, where appropriate.
As part of the essential functions of this role, the Program Assistant:
+ Assists screening incoming phone calls for CSS programs
+ Helps create a welcoming and judgment-free impression for CSS by helping at the front desks as needed, answering the phone and greeting patients
+ Manages the waiting room and attends to incoming patient flow when at front desk
+ Supports administrative duties in other areas of the Center for Supportive Services as needed
+ Assists in mailings and communications specific to PAWH, RWB, and HUD programming
+ Participates in quality assurance responsibilities across programs
+ Provides regular food pantry support, preparing for distribution of grocery bags for RWB
+ Assists supervisor with accumulating and maintaining statistical data for HUD and PAW; monitors and inputs data into Excel files, AIRS, HMIS and Medent systems for reporting requirements
+ Coordinates with the team to ensure patient needs are met within the parameters of their role
+ Maintains complete, current, and accurate files that comply with agency HIPAA confidentiality policies
+ Tracks and documents patient participation for PAWH and HUD programs
+ Identifies community resources and develops partnerships that increase patient access to necessary patient services for PAWH, HUD, and RWB programs
+ Assists staff and supervisor with monthly, quarterly, and annual reports
+ Completes chart reviews as assigned
Qualified candidate will have an Associate’s degree in Human Services, OR two (2) years of Human Services experience working with housing programs and systems; candidate must have strong written, verbal, organizational, customer service, and time management skills; candidate must be proficient with Microsoft Office Suite or related software; Candidate must demonstrate an awareness of and sensitivity to the issues that underserved populations, people living with HIV and people who use drugs face, including health disparities that affect people of color at a disproportionate rate

Required Education/Experience: Associate’s degree in Human Services, OR two (2) years of Human Services experience working with housing programs and systems
