Overview Program Assistant-Community Clinics at The Community Health & Wellness Hub Position Details: FTE: 1.0 (80 hours per pay period) Shift: day/evening shift Weekend Requirement: As needed weekends This is a grant-funded position with an expected temporary assignment of 11-12 months. The person will need to be able to travel around the metro area to various vaccination clinics and occasionally work weekends. Additional Information: Learn more about benefits at M Health Fairview: www.fairview.org/benefits Responsibilities Job Description Job Summary: We are seeking a detail-oriented Program Assistant – Community Clinics to support the use of vaccine management software at community-based vaccination clinics in order to deliver high-level services in the community. The day-to-day responsibilities include creating vaccine clinic signups, managing patient data, entering patient data into EPIC and providing technical support for vaccination events. The role requires frequent interaction with confidential and protected health data and registries such as the Minnesota Immunization Information Connection (MIIC). Job Expectations: Utilize the Vaccine Management System (VMS) to manage patient data accurately and efficiently at community-based events. Responsible for entering patient data into EPIC. Assist in the registration of clients for testing, vaccination, and other services as needed. Assist communities served in navigating the clinic process and provide follow-up support. Evaluate and process electronic batches and paper batches of patient data with accuracy. Evaluates clinical outcomes and data analysis for community clinical care programs and assists in developing reports and presentations, as needed. Frequent interaction with confidential and protected health data and registries such as the Minnesota Immunization Information Connection (MIIC). Collaborate effectively with the program coordinator, nurse managers, and community partners to register and set up vaccination clinics. Serve as subject matter expert on VMS and train other staff to use the VMS effectively. Serve as a point of contact with the software vendor team for technical assistance and support. Responsible to perform responsibilities at various Fairview and community sites. Provide other administrative support tasks as assigned by the clinical lead or program manager, including data entry when applicable. Qualifications Required Experience Two years of experience in using computer systems for data management, billing, or scheduling. Experience with Microsoft applications including Microsoft Excel, Word, and Teams. Excellent organizational skills. Ability to collaborate with various levels of an organization and community. Prior experience working with diverse community partners. Experience training others. Strong attention to detail and previous experience in data processing. Excellent interpersonal and communication skills. Need reliable transportation to attend clinics and meetings at various Fairview and community sites. Flexibility to work weekdays, occasional weekends and/or evenings to meet community clinics. Preferred Education Associates degree in healthcare field Experience 1+ years of experience training others. EPIC registration experience. 2+ years of relevant experience in healthcare administration, community health, public health. Previous experience with vaccine management software (e.g., PrepMod, VAMS, Primary) is advantageous. Certification or training in healthcare administration or a related field is a plus. Fluency in Spanish, Somali, Hmong, Karen, Amharic, Oromo, or Vietnamese is a plus.
