Equinox is Albany County’s primary provider of services for victims of domestic violence. Our Domestic Violence Programs provide safety for victims of Domestic Violence, including the elderly, and offer the support, assistance and tools they need to escape abusive situations and take control of their lives. Domestic Violence Services are available to all victims and their dependent children, regardless of gender, age, ethnicity, or sexual orientation.
Position Summary:Under general supervision of the Assistant Director, Domestic Violence Services, the Program Assistant maintains department database and electronic files, prepares reports, coordinates projects and provides other services as required. Program Assistant is responsible for daily office and administrative tasks for the DV Department. Program Assistant is responsible for DV Departments monthly, quarterly and annual reports as assigned. Program Assistant is required to maintain department purchase orders, invoices and receipts, and file accordingly. Program Assistant is the point person for the DV Department. The Program Assistant works closely with Program Managers and Program Director to collaborate on any other administrative needs as required. The Program Assistant collaborates with the Program Services Coordinator on awareness month events, the Holiday Drive and other outreach events.
Essential Duties and Responsibilities:
+ Maintains Domestic Violence Services databases. Inputs client data; extracts and assembles statistical information and reports from program databases for multiple funder requirements.
+ Responsible for DV Departments daily administrative functions.
+ Prepares monthly, quarterly and yearly program reports as directed.
+ Makes recommendations to improve efficiency and effectiveness in assigned functions.
+ Uses word processing and printing software and equipment to create, copy, edit, move material, make insertions or deletions, retrieve and print a variety of data.
+ Collaborates with Program Services Coordinator on annual Holiday, DV Awareness and other outreach campaigns
+ Maintains and process all purchase orders, receipts, per diem billing and rental voucher documentation required for Accounts Payable and grant claiming requirements.
+ Manages incoming and outgoing department mail, packages, donations and supplies. This requires delivering to other DV department off-site locations.
+ Participates in department staff meetings, program staff meetings, as well as individual supervision.
+ Maintain client records according to program and regulatory requirements. Maintain statistics requirements for the agency and funding sources.
+ Meets with walk-ins to provide crisis intervention, supportive listening, information and referral; develops safety plans with clients and conducts eligibility assessment for all Domestic Violence services.
+ Respond to the 24-hour hotline, crisis chat line, and provide direct services to advocacy and case management clients, including shelter placement and alternative options.
+ Develops and maintains positive working relationships and linkages with other community services, including domestic violence programs, human services and resource programs in the region.
+ Acts in accordance with Equinox mission. Maintain the highest level of professional ethical standards. Ensures confidentiality when dealing with employees, clients and the public.
+ May represent the agency in formal and informal groups related to domestic violence services.
+ Comply with all documentation requirements.
+ Reports suspected cases of child abuse/maltreatment as a mandated reporter.
+ Other duties as assigned.
Requirements
Physical Requirements:
+ Ability to negotiate stairs.
+ Ability to lift and carry minimum of 15 lbs.
+ Ability to handle basic facility emergencies.
+ Ability to drive and transport clients at times with agency vehicles
Minimum Qualifications:
+ Associates’ Degree (2 years of office/administrative experience with a High School Diploma or equivalent will be substituted in lieu of an advanced degree.)
+ Experience with Microsoft Office products.
+ Must have a clean, valid NYS Driver License, with access to reliable transportation.
Preferred Qualifications:
+ Fluency in Spanish and/or an additional language.
+ Prior experience in Human Services.
