Program Coordinator, Institute for the Diversity in the Arts

The Institute for Diversity in the Arts (IDA) is an interdisciplinary program that supports visionary arts leadership by stewarding the power of the arts toward social justice. IDA hosts artists, advances arts curriculum, stages experimental productions, and supports artistic leadership through year-long and summer-long fellowships. IDA is seeking a highly organized and detail-oriented Program Coordinator to provide administrative and operational support across IDA’s core programs including student fellowships, classes, events, and activities. The Program Coordinator reports to IDA’s Associate Director and works closely with IDA team members to support the planning, implementation, and evaluation of day-to-day activities. This position requires event production experience, the ability to move between different projects and timelines, as well as a passion for collaboration across staff, artists, students and stakeholders. 

In this role, you will:

Actively respond to inquiries (via email, phone, or in person) and determine and take appropriate action as required. This role serves as an administrative and operational resource for IDA programs and activities. Assist in the planning, promotion, and coordination of IDA events including lectures, workshops, performances, lunches and exhibitions. Coordinate event logistics, such as scheduling, room reservations, catering, equipment, and materials. Provide on-site support during events, including set-up, registration, documentation, and other event-related tasks. Maintain and update databases, spreadsheets, and other records related to IDA’s programs, initiatives, and contacts. Support special events sponsored or co-sponsored by IDA Work with artists and speakers to distribute materials, administer logistics, and contracts, coordinate travel, as well as marketing and communications. Oversee and/or process a variety of routine and complex financial transactions, such as reimbursements, purchase card transactions, travel card transactions and vendor payments using Stanford systems and policies Serve as the point of contact for general facility maintenance, health and safety, and other facility concerns at the Harmony House. Report any incidents or potential safety problems to appropriate representatives. Manage calendars and facility reservations for student groups and individuals for the Harmony House, IDA’s headquarters. Support student engagement and recruitment efforts across all programs. May manage a small group of student staff to support events and programming. 

Please note that this position will be based on the Stanford campus and will be considered hybrid with the expectation to be on campus 4 days per week during the school year and 2-3 days per week during the summer. In addition, this position may require working evenings and the occasional weekend. 

In order to be successful,  you will bring:

High school diploma and three years of administrative experience, or a combination of education and relevant experience. Demonstrated commitment to promoting and supporting an environment of diversity and inclusion, with a particular focus on the arts and cultural sectors A deep commitment to and knowledge of contemporary issues related to social justice Proficient computer skills and demonstrated experience with office software and email applications. Demonstrated success in following through and completing routine tasks. Strong planning and organizational skills and attention to detail. Strong verbal and written communication skills. Excellent customer service and interpersonal skills and be able to work effectively with diverse people in an open office atmosphere Ability to manage multiple priorities and multi-task. Experience coordinating programs and working with artists preferred. Ability to conduct effective library, internet, and other research.

The expected pay range for this position is $27.40 – $35.10 per hour.
