Program Coordinator

The Academic and Educational Support Program Coordinator is responsible for a wide range of administrative and student support duties. This includes supporting accreditation, coordinating program initiatives, providing event support, and managing academic records. The coordinator serves as a key liaison between the academic programs, student services, and other university offices. This position is intended to be a hybrid position, where on-campus presence is required 4 days per week with a work from home option available 1 day per week. Due to the position’s responsibilities, it may not be feasible to work from home on the same day each week. 

 

About the Work Unit: 

The School of Engineering is internationally recognized for the superior quality of its research and education programs in selected fields of engineering. The school includes six major departments, two Institutes, and the Division of Engineering Science and Management. Esteemed biomedical engineer Krishnendu "Krish" Roy joined Vanderbilt in the fall of 2023 as the Bruce and Bridgitt Evans Dean of Engineering and University Distinguished Professor. "My goal is to ensure that Vanderbilt School of Engineering is a diverse, inclusive and equitable place that has a profound impact on the advancement of society and the human condition, locally and globally, and that it trains the most impactful engineering leaders of the future." Dean Roy is leading VUSE into the future focused around a growing research portfolio and expanded educational programs. 

 

Key Functions and Expected Performance: 

Academic Programs and Initiatives Support (40%):

• Support accreditation activities (ABET and SACSCOC) 

• Support undergraduate scholarship selection process 

• Support travel-embedded courses – scheduling info sessions / meetings for interested faculty, maintaining the calendar of steps, and marshaling faculty and their proposals through the multi-step process of approval 

• Support new UG credit-bearing initiatives – track and promote more summer online courses, programs in conjunction with new opportunities Enhance engagement in our educational offerings - track participation in our majors, minors, and focus areas; engage with VUSE Communications on marketing of our majors, minors, and focus areas; organize majors/minors/focus areas fair for all students early in spring term in addition to supporting the one on Academic Day for first year students 

• Support the preparation and management of grants related to associate deans’ leadership responsibilities such as the TN Board of Architectural and Engineering Examiners 

• Oversee VUSE efforts to get students to take the Fundamentals of Engineering exam, including administration of funds for exam fees Strategic 

 

Program and Event Coordination (40%): 

• Coordinate large scale undergraduate events, including Academic Orientation, Senior Awards, and Senior Design Day 

• Coordinate logistics for VUSE Summer Research Program including call for proposals, website updates, selection process, assisting with onboarding, and annual poster session 

 

Student Support and Records Management (20%): 

• Draft and archive Dean's Notification messages sent on behalf of students in need • Support dismissals and required leave of absence (RLOA) process, communications, appeals, and records 

• Monitor and archive documents related to students on medical leave of absence (MLOA) or who receive an honor or disciplinary/conduct sanction; produce letters to send to students 

• Support Curricular Practical Training (CPT) process for summer internships • Update list of undergraduate classes available for visits every semester and report to Office of Undergraduate Admissions and Development & Alumni Relations. Additional duties supporting the strategic educational mission of the School of Engineering as assigned. 

 

Supervisory Relationships: This position does not have supervisory responsibility; this position reports administratively to the Assistant Dean for People and Operations and functionally to two Associate Deans in the School of Engineering. 

 

Education and Certifications: 

• High School diploma required, and Bachelor’s Degree is strongly preferred. 

 

Experience and Skills: 

• Comfort with Microsoft Office suite is preferred 

• Event planning and project management experience is preferred 

• Prior work experience on a college or university campus is preferred
