Program Coordinator

The University of Maryland School of Medicine (UMSOM) Office of Student Research (OSR) has an exciting growth opportunity for a Program Coordinator.

The Office of Student Research is one of four offices that make up Undergraduate Medical Education (UME) and is responsible for all research education and research programming for UMSOM medical students, as well as for overseeing the MD/Masters dual-degree programs.

The OSR is in search of a dynamic and results-oriented individual with superior communication and problem-solving abilities, to assume the important role of Program Coordinator. Operating under general supervision, the Program Coordinator will be responsible for a diverse range of professional and analytical tasks that leverage management principles and techniques to maintain and enhance daily operational activities.

This position is a unique opportunity for someone who is passionate about utilizing and expanding their program management skills and also enjoys interacting with students and a wide range of colleagues.

The ideal candidate is a self-starter, prioritizes clear communication, teamwork, and efficiency, meets deadlines, is able to prioritize and manage competing assignments, enjoys troubleshooting, and consistently produces high-quality work. The candidate should also feel comfortable communicating with a wide range of stakeholders including medical students, faculty, and representatives of outside research collaborations.

General Responsibilities:

Following training, complete individually assigned projects and team-based projects with minimal oversight, and with an attention to detail and maintaining timelines.
Communicate clearly and efficiently with supervisors about progress of work and challenges that arise.
Contribute to a range of OSR activities and take on increasing responsibilities with time.
Demonstrate initiative and discretion to resolve routine matters and engage leadership for support in resolving non-routine matters.
Display flexibility in approaching tasks and adapt to working with a diverse group of colleagues with varying work and communication styles.
Liaise and/or collaborate with other student-supporting offices.
Maintain relationships with multiple and multi-level stakeholders, including students, faculty, staff, leadership, and outside/community agencies to facilitate program objectives and grow the programming.
Strive to promote collaboration, interdisciplinary initiatives, shared services, and economies of scale, while fostering the academic and professional strengths of staff, faculty, and students.

Primary Duties:

Support the day-to-day operations of the OSR and OSR-led programs by providing general administrative support, including office organization, scheduling, and monitoring office email accounts.
Prioritize efforts to document existing processes and procedures, and recommend ways to improve them.
Contribute to managing the full life cycle of growing OSR programs, including program design and planning, student applications, data tracking, summer programming, and stakeholder engagement.
Assist with the planning and execution of OSR events throughout the year, including in-person and virtual seminars, workshops, research conferences, and other events that enhance student experiences. With experience, the candidate will be responsible for coordinating some of these events.
Assist with data collection, management, and analysis. Help prepare reports on departmental activities (progress, status, and outcomes).
Help compose, edit, and distribute documents including course and program materials, as well as marketing materials such as newsletters, brochures, or flyers.
Facilitate program administration and evaluation activities and recommend ways to efficiently utilize space, equipment, personnel, and financial resources.
Perform other duties as assigned.

Education: Bachelor’s degree.

Experience: One (1) year administrative or program coordination experience.

Other: Related experience to position may be considered and substituted for education.

Knowledge, Skills, Abilities

Basic data acquisition and analysis skills; experience and comfort using Excel or other spreadsheet editors.
Knowledge of Teams and other Microsoft programs, preferred.
Ability to quickly learn how to utilize other required technology/systems.
Ability to effectively communicate both verbally and in writing.
Ability to work cooperatively with others and independently.

Hiring Range: $54,000 - $60,000, commensurate with education and experience
