Program Coordinator - Chief Quality & Value Office

CQVO Project/Program Coordination
1. Heavy meeting planning, preparation, and facilitation:
a. provides behind the scenes support for monthly meetings, preparation meeting and the committee meeting, along with meetings for supporting subcommittees and workgroups. Involves coordinating calendars for key participants, sending calendar invitations, zoom links, coordinating agendas, coordinating presentation, running slide deck, and assisting with meeting minutes.
b. supports all subcommittees, scheduling meetings, preparing agendas, and taking meeting minutes.
c. follow up on action items from meetings, reaches out to appropriate contact to facilitate solutions.
2. Prepares monthly summary of meetings and topics discussed for distribution.
3. For any in-person meetings, event planning and coordination:
a. room coordination with Event Services
b. catering
4. Set up and oversight of group mailbox and responsible for prompt responses.
5. Create and maintain the intranet site for programs as needed.
6. Highly dependable and responsible, demonstrating the ability to work independently and complete assignments with minimal oversight.
7. Professional demeanor and discretion required for any sensitive topics.
Communication
1. Helps serve as the communications point of contact for committees.
2. Works closely with key stakeholders to ensure program initiatives are moving forward.
3. Helps develop and implement communication plans and material as needed and helps collaborate closely with institutional communications team.
CQVO Programmatic Support
1. Provides support for projects as assigned for initiatives led by the Chief Quality and Value Office.
2. Works collaboratively with CQVO directors and project consultant to ensure goals and deadlines are being met.
3. Facilitates project related meetings to include creation and distribution of agenda and coordination of meetings.
4. Participates in strategic planning.
5. Represents the Office of the Chief Medical Executive and the Chief Quality and Value Office with poise and professionalism, anticipating needs, facilitating solutions, and expediting communications with key stakeholders throughout the institution.
Bachelor's degree in Business Administration or related field. Education preferred: Master's degree. Three years project/program coordination experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. With preferred degree, one year of required experience.
