All while understanding that **together** we are even better. **Schedule:** Full Time **Shift** : Monday – Friday **Location:** 900 Hope Way Altamonte Springs, FL 32714 **The role you’ll contribute:** The Program Coordinator (PC) is responsible for organizing leadership programs and offerings provided by the Leadership Institute. This includes overseeing all aspects of program planning, implementation and maintenance related to the leadership programs, onboarding, and any other offering related to the leadership population at AdventHealth (i.e. executives, front line, physicians, nurses, administrators, emerging, etc.). The PC will independently coordinate projects and programs (etc. leadership programs, onboarding, scheduling, materials maintenance, reporting) when requested and will help plan and organize programs and activities as well as carry out important operational duties. This includes creating program schedules in the Learning Management System / SharePoint, communicating key program information with participants, collaborating with facilitators regarding logistics and other experiential needs to create an impactful learning experience. The PC will also help gather feedback from the experience and develop reporting for leadership review. **The value you’ll bring to the team:** + Understand the needs of our learning and development partners to create an impactful learning experience for leaders. + Partner closely with clinical and executive leaders to ensure program and process alignment. + Work with candidates for various Leadership Institute programs, which includes screening, hiring, selecting, placing, and onboarding candidates. + Assist continuously in building candidate pipeline and maintain responsibility for ongoing candidate relationship management. + Travel to program events and facilitation offerings both in-state and out-of-state. Travel is about 20-30% of the time. + Plan program and offering aspects, such as location reservation, floorplan layout, catering, communicating with Executives, planning the agenda, gather presentation materials, working with A/V, work with external presenters and consultants. + Track budgetary spending by working with appropriate accounting teams for expense reports, inter-department transfers, and taxable benefits. + Co-organize strategy planning meetings. capture minutes, including action steps and follow up with key stakeholders + Schedule external site visits as needed to determine event space functionality needed for event. + Address phone and email inquiries regarding the specific Leadership Institute leadership programs and offerings. + Acquire knowledge of Leadership Institute facility and program offerings to inform team members as needed. + Manage program speakers and / or facilitators, entertainment / social events, meals and travel / lodging accommodations as needed. + Collect presenter and / or facilitator slides and understand needs to support the facilitation experience (i.e. materials, markers, room layout etc.). + Order materials to support leadership programs and offerings (i.e. books, supplies, program guides, etc.) by working closely with Creative Services. + Communicate with and support program participants through the lifecycle of the program, as well support participant alumni from LI programs. + Support advertisement strategies as needed for program participants. + Manage and oversee the day of events for programs and offerings, including problem-solving, welcoming guests, supporting set-up, communicating with staff and vendors, and take-down. + Support management of stakeholder engagement to increase program longevity and improve programmatic experience for participants. + Communicate with creative services / communications team to create and / or maintain program materials, announcements and articles. + Administer program related assessments (DiSC, WorkPlace Big 5, etc.) as needed. + Create and maintain content and material on program participant Sharepoint site. + Communicate ideas and plans to facilitators and program development partners. + Produce reports as needed by leadership, i.e. department metrics and Leadership Institute Steering Committee presentation needs and research as needed. + Create process and procedural documentation for specific programs and offerings. + Collaborate with Leadership Institute team and organization partners as needed. + Create and maintain online databases for Leadership Institute Programs. + Maintain Leadership Development workshops (i.e. on the AdventHealth Learning Network). + Support team members with technical support upon request. + Order devices for onboarding of new hires. Qualifications **The expertise and experiences you’ll need to succeed** **:** **EDUCATION AND EXPERIENCE REQUIRED** **:** + Bachelor’s degree in Business, Communications, Organizational Development, Industrial Psychology, Health Care Administration or like degree + 3 years’ experience as a project or program coordinator or in a professional support function; or equivalent education. + Strong Executive Presence and experience working with leadership (i.e. executives, front line, physicians, nurses, administrators, emerging, etc.) **EDUCATION AND EXPERIENCE PREFERRED:** + Experience in health care + Leadership program coordination + 5-10 Experience as an assistant or in a professional support function **LICENSURE, CERTIFICATION, OR REGISTRATION PREFERRED:** + Facilitate Leadership Development Trainings/Courses as requested This facility is an equal opportunity employer and complies with federal, state and local anti-discrimination laws, regulations and ordinances.
