Program Coordinator - Medical Communications

Position Summary:

At PRECISIONscientia, the Program Coordinator (PC) plays an important role in the successful delivery of our programs.  The PC works under the direction of the Program Director (PD) or Program Manager (PM) on the client team to which he or she is assigned. 

 

Essential Functions of the job include but are not limited to:

Program Coordination:  Under the direction of the PD, PM or Senior Program Coordinator (SPC), traffic the project deliverables through the departments ensuring that due dates are relayed, and obstacles are identified and communicated to the PM or PD (or independently resolved).  Prepare and disseminate the assignment report and facilitate assignment team meetings.

 

File all client communications and project-related documents as required by the Standard Operating Procedures.

Manage the client’s medical/legal/regulatory (MLR) process including submissions, contracting with taggers, communications with the client’s MLR and monitoring status.  Coordinate communications with the client’s MLR coordinator with ETHOS MLR Supervisor, SPC and/or PM.

Once PC role is mastered, begin learning Program Management tasks in preparation of managing small, non-complex projects.

Communication:  Coordinate internal and external schedules and meetings; support the PM in providing status updates to the team via oral and/or written communication; support recruitment activities and coordinate initial and follow-up communication with program faculty and attendees; participate in internal meetings and client calls and take meeting notes.

 

Finance:   Assist the PM or SPC in reviewing invoicing documents and final reconciliation, prepare Sunshine Act reports and any ancillary reports as required by the client, and create draft task order.  File all financial documents.

 

Program Logistics:  Under the direction of the PM or PD and depending on account requirements, manage logistics vendor and perform meeting planning tasks, including site search, venue contracting, travel arrangements, food/beverage and audio-visual equipment.

 

Vendor and Agency Partner Management:  Under the direction of the PM or PD, manage vendors not associated with strategy and content such as print, video and digital production and transcription services.

 

This position requires travel.

 

Qualifications:

Minimum required:

Bachelor’s Degree

 

Other Required:

0-1 years’ related experience in a client service or agency setting.

 

Skills:

MS Office (Word, Excel, Power Point, MS Project, Outlook) Managing the project development process from a trafficking perspective  Trafficking up to 20 projects simultaneously through the workflow process and confirming the team understands their assignment and deadline Managing many project details with strong organizational skills Verbal and written communications Interpersonal skills Identifying potential workflow obstacles and provide solutions Basic financials for a service-based business
