**The Office of Medical Staff Appointments (OMSA) has an outstanding opportunity for three full-time Program Coordinators.**
Under the general supervision of the Credentialing Manager, the Program Coordinator is responsible for organizing and coordinating efforts associated with the credentialing office. It is the Program Coordinator’s responsibility to be an expert and to advise others on the many policies and procedures associated with OMSA and the credentialing process for each of the UW Medicine facilities, which include the University of Washington Medical Center(s), Harborview Medical Center, Fred Hutch Cancer Center, UW Medicine Primary Care, and Husky Health.
**DUTIES AND RESPONSIBILITIES** **Ongoing Monitoring of Regulatory Compliance (50%)**
• Monitor licensure renewal status daily, notifying the practitioner, department, and medical directors if a practitioner fails to renew in time. Maintain master files for all medical staff members.
• Enter and file copies of current licensure, DEA certifications, applications, letters of verification, and all other materials related to medical staff appointments. Maintain database records related to license and DEA expiration dates; prepare and mail expiration notifications. Ensure pending DEAs are changed or issued WA DEAs.
• Process and distribute Washington State Patrol criminal history background checks for medical staff appointments, faculty, and fellows of the School of Medicine. In the event of a positive return, notify the OMSA Manager for appropriate action.
• Process and distribute national criminal history background checks through A-Check Global for medical staff appointments, faculty, and fellows of the School of Medicine. In the event of a positive return, notify the OMSA Manager for appropriate action.
• Review OPPEs and FPPEs received from each medical center and respond to verification requests, noting and directing follow-up on any response that is inconsistent with the information on file.
**Credentialing and Privileging (30%)**
• As needed, assist as a backup coverage with initial applications, reappointment applications, and special privileging requests. The thorough review of each application requires confirmation of accuracy and a detailed review of materials for completeness before submitting them to the Credentials Committee, Medical Executive Committee, and Board of Trustees of UW Medicine facilities for final review and consideration. Continuous follow-up is required during the review of each application (and reappointment).
• As needed, assist with import of applications and run manual verifications such as WATCH, EP-Staff, and Sterling national background checks, ensuring proper documentation and record-keeping in the credentialing software.
• Ensure OMSA’s credentialing process meets state and federal laws, satisfies the medical centers’ bylaws, and complies with The Joint Commission (TJC), National Committee for Quality Assurance (NCQA), and other credentialing guidelines. This position also requires the ability to communicate with various institutions and their staff, attention to detail, strong organizational skills, and respect for confidentiality.
• Resolve and troubleshoot difficulties associated with gathering required verification responses. While maintaining the highest level of confidentiality, ensure applicants and reappointments are qualified for the privileges requested and that all required documentation has been received and kept on file.
• Ensure medical center approval letters and certifications are scanned in images in providers records.
**Special Projects and Communication (15%)**
• Assist with special project duties as assigned in compliance with accreditation and regulatory standards.
• Provide information to departments, medical staff, and program participants regarding bylaws requirements, UW policies, and privilege requirements. Recommend alternative courses of action (e.g., Board Waiver for Foreign Medical Graduates, Supervisory Plan to meet UW Medicine requirements, etc.).
• Engage in daily interactions with a wide variety of administrative and clinical personnel, including the Office of Risk Management, Medical Staff Offices, and Compliance Offices. Open, review, and distribute incoming documents and scan documents into the credentialing system.
• The Program Coordinator will have extensive involvement with staff, the public, and various agencies in carrying out program activities and coordinating activities to ensure consistency with department and program goals.
**Other Duties (5%)**
• OMSA is a collaborative unit committed to teamwork. Perform other duties as assigned by the Manager as needed.
**MINIMUM REQUIREMENTS**
High school graduation or equivalent AND two years of experience in credentialing and privileging of medical staff OR equivalent education/experience.
**DESIRED QUALIFICATIONS**
NAMSS Certified Provider Credentialing Specialist (CPCS) certification within two years of hire.
