Job Description

SUMMARY:

Reporting to the Vice Provost for Undergraduate Education, Success, and Academic Innovation, the Program Coordinator is responsible for providing high-level administrative support.  

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Contribute to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures and backgrounds.

Become knowledgeable about Montclair State University. 

Manage correspondence, including drafting, proofreading, and sending emails, letters, and other forms of communication on behalf of Vice Provost.

Schedule and organize meetings, prepare agendas, take minutes, and follow up on action items.

Coordinate, implement, and control general and special projects; ensure timely completion.

Support committees for which the Vice Provost serves as chair or co-chair.

Compile and prepare reports, presentations, and other documents for meetings and administrative purposes, ensuring that all information is accurate and well-presented.

Manage all purchasing and financial requisitions through the Workday Finance system. 

Maintain and organize all budget reporting and tracking for VPUSAI.

Assist the Vice Provost with basic clerical duties such as calendar management, ordering supplies, travel reservations, reimbursement processing, and electronic file management.

Establish and maintain strong collaborative working relationships with units across the University. 

Determine the most appropriate and efficient way to respond to requests for assistance (e.g., contacting another office on campus or addressing the issue directly) and execute solutions. 

Maintain records and files. 

Distribute important information on behalf of the Vice Provost to faculty, staff, and students, which may include creating newsletters, updating bulletin boards, and managing social media accounts.

Act as a point of contact for students and faculty, answering questions, providing information, and directing them to the appropriate resources. 

Perform other duties as assigned.

QUALIFICATIONS: 

REQUIRED:  

Bachelor's degree from an accredited college or university.

Strong verbal and written communication skills. 

Exceptional organization, analytical, and teamwork skills. 

Demonstrated understanding of excellent customer service. 

Proficiency in Microsoft Office and Google applications and comfort in working with social media. 

PREFERRED: 

Master’s degree from an accredited college or university.

Experience in a higher educational setting.

Experience with student information systems and student-facing applications.
