Program Operations Manager, 326 Rockaway Supportive Housing Program

ESSENTIAL DUTIES AND RESPONSIBILITIES
The Program Operations Manager provides administrative support to staff of the 326 Rockaway Supportive Housing program. Overseeing everyday programmatic and administrative operations. The Program Operations Manager ensures program staff have access to all the systems necessary to complete their work. The Program Operations Manager will:
+ Provide administrative support to the Program Administrator and all program staff, ensuring proper functioning of program operations
+ Receive referrals for tenant placement and schedule interviews for incoming tenants
+ Assist with the planning and implementation of staff trainings, development/programming activities, and other internal/external meetings as scheduled
+ Manage purchase and distribution of MetroCards, MTA transportation passes and mailing stamps
+ Organize recreational and social activities and classes, as well as trips, group birthday party celebrations, cultural event, milestone celebrations, and graduation events
+ Track programmatic impact measures as well as funder required milestones
+ Complete and submit reports to the program leadership for review and submission to funding source and RiseBoro Board of Directors
+ Coordinate details of monthly tenant meetings led by Tenant Services Director
+ Outreach in the community to establish and maintain current and new relationships and partnerships; utilize tenant assessments to determine pertinent partnerships that support tenant goals
+ Support program operational activities such as audits, work planning session, grant proposals, outreach activities and intake process
+ Conduct periodic inventory of supplies and place orders, as needed for office supplies as well as program supplies for recreational activities
+ Order supplies in accordance with program’s designated budget; work with vendors to guarantee on time delivery of program supplies
+ Coordinate with staff and community partners to establish health and wellness workshops
+ Coordinate with other RiseBoro departments to ensure program staff have the most up-to-date information and processes for compliance with organizational protocols and proper program functioning
+ Represent the program in RiseBoro inter-organizational initiatives that strengthen overall program and organizational functions
+ Lead onboarding processes, including coordinating with IT to ensure appropriate set-up of all new staff on-site and remotely and working with program leadership to develop and implement training schedules for new hires
+ Assist with the planning and implementation of staff trainings, development activities, and division-wide events; encourage engagement digitally and in-person when appropriate
+ Coordinate with Admin and the IT Department on providing technology to staff, ensuring both existing and new staff are properly trained with up-to-date Housing systems and any new IT initiatives are successfully implemented across programs (i.e. new phone systems)
+ Troubleshoot and implement innovative solutions to administrative issues as they arise

EDUCATION EXPERIENCE
+ Bachelor’s Degree required
+ Previous experience supporting teams in a social service setting
