The Sports Institute at UW Medicine, housed within the Department of Neurological Surgery, is a national leader in innovation, research, education and advocacy in youth and adult sports safety. Our dedicated team is committed to advancing the science of sports health and safety, and improving the health of all individuals engaged in sport and physical activity. Collaborating with partners at the University of Washington (UW) as well as educators, researchers, policymakers, and sports organizations across the U.S. and internationally, our goal is to make sports accessible and safer, leveraging sports participation and physical activity as a means to a healthier society. We are seeking a full-time (100% FTE) **Program Operations Specialist** to join us at The Sports Institute to provide project coordination and support for programs and research involving digital health tools as well as assist in the development of sports safety and health education materials and media, proposals, briefs, lectures, and other assets for collaborations. This role will also assist with administrative tasks including scheduling, event support, and other essential clerical duties that contribute to organizational efficiency. The successful candidate will have an interest in physical activity and sport-related research, experience with project or research coordination or management, and an ability to work both independently and collaboratively with diverse faculty and research teams across multiple university departments and community stakeholders. This position will report directly to The Sports Institute’s Associate Director and utilize a hybrid work model which may require periodic travel to sites located in the Seattle area. **DUTIES AND RESPONSIBILITIES** Project Coordination for Physical Activity and Sports Safety Initiatives and Digital Health Tools + Acting as a point of contact for project-related inquiries. + Tracking and reporting on progress of project milestones. + Coordinate communication between Principal Investigators, the research team, and engineers to ensure seamless project development. + Collaborating with cross-functional teams to support the planning, coordination, and execution of new projects.Administrative Support Tasks% + Ensuring project deadlines and key dates are tracked and communicated. + Scheduling meetings, calls, and appointments for project teams and stakeholders. + Preparing and distributing meeting minutes, reports, and project documentation. + Assisting with financial reporting and managing invoicing processes. + Supporting logistics for project events, travel arrangements, or training sessions.Asset Development + Organizing and developing digital assets (e.g., graphics, documents, presentations) and ensuring proper version control. + Supporting efforts needed for asset creation, such as developing lecture presentation drafts, and managing citations. + Assisting in developing grant and philanthropic proposals. + Coordinating reviews, feedback loops, and approval processes for assets.Other Duties As Assigned **MINIMUM REQUIREMENTS** + Bachelor's Degree in Exercise Science, Public Health, Business Administration, Education or related field. + 2-3 years of Administrative/Coordinator experience with a background in Sports, Physical Activity or Health Sciences. **Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **ADDITIONAL REQUIREMENTS** + Experience with software including, but not limited to, Microsoft Office Suite and Google Apps. + Ability to plan, organize, and oversee multiple projects simultaneously, ensuring timelines and milestones are met. + Strong attention to detail in managing tasks, schedules, and documentation. + Experience working collaboratively with a team in a dynamic and evolving environment. + Outstanding communication and interpersonal skills. + Problem-solving skills with the ability to address challenges and find effective solutions quickly. + Flexibility and adaptability to respond effectively to changing priorities or unexpected project needs. **DESIRED QUALIFICATIONS** + Experience with UX/UI research and digital health computer science. + Background in sports, health sciences, or physical activity research (either through academic study or professional experience). + Experience with web and social media management. + Experience in program coordination or project management within research or academic environment. **Application Process:** The application process may include completion of a variety of online assessments to obtain additional information that will be used in the evaluation process.
