We provide inpatient rehabilitation care at the University of Washington Medical Center, Harborview Medical Center, Harborview Medical Center, Seattle Children’s, and the Veteran’s Affairs Puget Sound Health Care System. In addition, we have several outpatient clinics located throughout the Seattle region. Our highly regarded education and training programs include a residency program in Physical Medicine and Rehabilitation, medical student clerkships, and fellowship training in several areas. In addition, we have degree programs in physical therapy, occupational therapy, and prosthetics and orthotics, as well as a PhD graduate program in Rehabilitation Science. Research is a major focus of the Department of Rehabilitation Medicine. We are among the nation’s leading recipients of funding from the National Institutes of Health (NIH), the National Institute on Disability and Rehabilitation Research (NIDRR), the Centers for Disease Control and Prevention (CIDC), and other federal and state research funding. Our efforts make the University of Washington Department of Rehabilitation Medicine as leader in the field and contribute to a better understanding of the rehabilitation process. The annual budget is approximately $37 million with $14 million from clinical operations, $11 million from research, $9 million in Self-Sustaining sources and $3 million from state, gifts and endowments. The purpose of this position is to provide support of the components of grants management for the Department of Rehabilitation Medicine. They report to the Department of Rehabilitation Medicine Grant Manager and collaborates regularly with team members and leadership. This position is the primary resource for an assigned portfolio of principal investigators and must be knowledgeable about UW policies and procedures as well as the numerous policies and procedures of different funding agencies. This individual is responsible for grants and contracts management including contracting, resource budgeting and allocation, implementation, accounting, maintaining, and monitoring. **DUTIES AND RESPONSIBILITIES** Grant Management For an assigned post-award portfolio: + Initiate Award Set up Requests (ASRs) in UW’s System to Administer Grants Electronically (SAGE) as new awards are received. + Review and re-negotiate initial budget as part of the Award Set up process. + Manage budgets of assigned portfolio to include monitoring and approving expenses while ensuring compliance, make budget projections and recommendations. + Determine course of action based on policy and procedures. + Independently meeting with PIs at least quarterly. + Independently manage prior approval submissions such as budget revisions, no cost extensions (NCEs), change in PI, etc. via the SAGE Modification (MOD) system. + Perform outgoing subaward contract initiation and modifications, budget reviews, invoice review, approval, tracking and closeout. + Manage preparation and submission of performance and financial reports for funding agencies, working closely with PIs and UW’s Grant and Contract Accounting (GCA) team. + Review and assess any cost share requirements. + Review and complete award closeouts. + Pre-review all Employee Compensation Compliance (ECC) effort certifications and Project Statement certifications on assigned portfolio. + Maintain and regularly update payroll distributions for all assigned grant related staff and faculty.Other + Lead for the maintenance of all department researcher biosketches and Other Support documents, currently on forms. This will be transitioning to SciENcv by May, 2025. + Assign rental and internet bulk charges to appropriate grant budgets. + Other grant management related duties as assigned. **MINIMUM REQUIREMENTS** + Bachelors in Business Administration, Accounting or related field. + Two years of experience in financial analysis, budgeting, grant or contract administration. **Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **ADDITIONAL REQUIREMENTS** + Previous experience with grant post-award, budget reconciliation and compliance. + Ability to use Microsoft Office products including Word and with intermediate skills in Excel. + Ability to exercise independent judgment and discretion. + Excellent verbal and written communication skills. + Strong commitment to customer service. + Detail oriented and highly organized. + Ability to be flexible and multi-task, prioritize work with interruptions and meet deadlines. **DESIRED QUALIFICATIONS** + Knowledge and experience serving in a key role in UW financial and grant/contract accounting systems. + Familiarity with national funding agencies such as NIH & National Multiple Sclerosis Society (NMSS). + Experience with internal or external audits. + Familiarity with UW Human Subjects processes and Institutional Review Board (IRB). **Application Process:** The application process may include completion of a variety of online assessments to obtain additional information that will be used in the evaluation process.
