Scope of Job
To provide support in the operation and coordination of student credentialing. Responsible for assigned phases of a program or select projects within an area.
Description of Duties
• Work with current and former medical students to facilitate and complete credentialing processes for entering the medical program (pre-matriculation), participation in clinical sites, state boards and, medical boards licensing and other internal and external agencies.
• Assist with other medical student records functions as needed.
• Supports the daily operations of the organization and management of student credentialing records, including profiles and photos. Coordinates letters of good standing with the SOM Registrar to complete credentialing packages for clinical sites.
• Work with medical students to obtain all necessary credentialing information necessary to complete the required affiliated sites’ credentialing applications. Tracks progress of pending and completed requirements and communicates status to the appropriate MD Program departments, clerkship/module administrators for follow-up. Transmits secure submissions of completed credentialing packages to the assigned clinical sites.
• Act as primary liaison between module/clerkship administrators, medical students, and clinical sites. Responsible for building partnerships with hospitals’ credentialing teams to ensure the timely processing of applications. Collaborates with both internal and external departments involved in the credentialing process, including Student Health Services.
• Maintain confidentiality and adhere to all HIPAA / FERPA requirements. Maintains timely communication with students and hospitals regarding eligibility and credentialing decisions and/or related issues.
• Communicate assigned requirements and collects enrollment documentation for incoming and current students (i.e., monitoring immunization, criminal background checks, drug screenings, proof of health insurance, etc.) ensuring review by the Office of Student Affairs and Student Health Services.
• Track and verify immunization compliance, current health insurance, current disability insurance, annual completion of required training ( HIPAA , FERPA and OSHA ), Basic Life Support ( BLS ) certification, and other requirements for incoming, current, and returning students. Follows up with students to ensure compliance of annual immunization requirements (e.g., TB screening, flu shots).
• Assists in development and implementation of credentialing procedures. Establishes and confirms credentialing requirements for each clinical site. Maintains credentialing data following SOM , affiliated sites and state and federal requirements. Creates and maintains credentialing procedural manual for students. Provides training as needed for students on credentialing procedures (e.g., via workshops or online modules).
• Serves as a SOM Student Affairs liaison with administrative units and committees within the university and SOM .
• Performs other duties as assigned.

Bachelor’s degree in education, business, educational technology or a related field from an accredited university

+ One (1) year of general office experience or experience in student credentialing or
+ Three (3) years of the required experience with an Associate Degree or 60 hours of College Credit, or
+ Five (5) years of the required experience with a High School Diploma or equivalent.

Working Conditions
Needs to be able to successfully perform all required duties. Normal office, classroom or outside environment. Some travel and weekend work is required. UTRGV is a distributed institution, which requires presence at multiple locations throughout the Rio Grande Valley. Particular project or program may require ability to drive a car for local or distant travel for consultation, training, meetings, or on site demonstrations. Must be able to bend, stoop, reach and lift for retrieving/maintaining files and for setting up multimedia equipment. Must be able to move between buildings, offices and classrooms.

Must demonstrate effective project promotion skills, and, the ability to develop and maintain strong working relations with internal and external agencies and entities. Ability to interact in a professional manner with faculty, staff, students and the public. Excellent verbal and written communication skills. Demonstrated interpersonal skills.
