Job Description Purpose: The Program Specialist II is a member of the Texas A&M Engineering HR & Payroll team and performs moderately complex duties related to office and financial management and administrative support. Maintains high-level interactions with A&M Engineering departments and divisions and assists with highly confidential administrative matters. Responsibilities: Office Manager (50%) + Manages the flow and cadence of the office including monitoring of main phone line, greeting and directing visitors, coordinate incoming and outgoing mail/packages and general office administration. + Coordinate office operations for Engineering Human Resources & Payroll, fostering effective communication, streamlining processes, and promoting collaboration among division staff. + Manages all purchasing and accounts payable transactions for Engineering HR & Payroll. + Assists in budget oversight for the division. + Serves as primary liaison on technology and facility updates and needs for the division. + Coordinates division inventory with Alternate Accountable Property Officer + Directs employees to human resources and/or payroll resources. + Assists new hires and employees in Workday including personal updates, password resets, duo assistance and other Workday services. + Monitors division website for current and accurate information. + Assists in promoting division services to Engineering workforce. + Serves on the Building Emergency Action Plan Committee and organization safety committees. + Serves as Departmental Parking Administrator. Administrative Support (25%) + Oversight of executive administrator calendar and schedule. + Attends human resources trainings and/or informational meetings. + Serves as liaison to administrative offices. + Coordinates meetings and events. Training Compliance & Coordination (25%) + Serves on the A&M System training council as a representative of TEES and the College of Engineering. + Oversight of mandated training compliance for A&M Engineering. + Provides customer service for TrainTraq access, course completion and reporting. + Assists in coordinating meetings and events related to training and development + May provide planning and logistical support for events and programs. Other Responsibilities + Provides excellent customer service. + Other duties as assigned.
