Program Support Assistant
Summary As the Program Support Assistant, you serve as the primary administrative support to Geriatrics & Extended Care Service (GEC) at the Miami VA Medical Center coordinating, monitoring all information involved in tracking performance improvement monitors; administer fund control points and credit card orders, assists with updating, maintaining, and organizing all service policies and guidelines; assists with administrative programs used by the service including: Timekeeping, PIV, and ADPAC. Responsibilities Schedule/coordinate meetings and manages conference rooms for the various sections; meeting rooms spaces audio/video conferences, prepares agendas, records attendance, prepares meeting minutes and ensures that follow-up items are addressed from the tracking log. Ensure that staff and prospective employees are complaint with credentials, certificates, licensures, computer access, and mandatory trainings to include Talented Management System (TMS). Serve as ADPAC and PIV Sponsor. Initiate e-passes; new staff account creation; access key audits; etc. Maintain data and formulates statistical/graphical information and provides to appropriate individual for review and dissemination. Works together with staff members to assist in developing reports, maintenance and tracking of specific projects. Review all requests for appointments and to determine priority and necessity, or redirects to other resources. Obtains documents or data necessary for the meeting, and supplies certain data as requested. Coordinate scheduling and travel orders, hotel reservations and transportation, as necessary, in support of various projects, investigations, conferences, or meetings for the programs being supported. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Preferred Experience: Experience with clinic appointment scheduling. You may qualify based on your experience as described below: Specialized Experience: Carefully read the following descriptions of the required specialized experience for the position. Your resume must support your response. Applicants must have one (1) full year of specialized experience related to this position. This experience must have been equivalent to at least the GS-06 grade level in the Federal Service. Examples of specialized experience would typically include, but are not limited to: communicating with internal and external customers of the organization, preparing correspondence, meeting agendas, meeting minutes, and follow-up action items with appropriate staff members, conducting surveys, maintaining data, reports, and publications, assists team with data collection maintenance and monthly report, coordinating hospice related public outreach efforts, appointment scheduling, room assignment, and follow-up. You will be rated on the following Competencies for this position: Administration and Management Database Administration Manages and Organizes Information Planning and Evaluating Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is primarily sedentary with some sitting, walking, standing, bending, and carrying, of light items such as books, manuals, records, papers, and charts. Work is performed in an office setting with frequent visits to the service areas and other services throughout the Medical Center complex and/or other divisions. The work involves everyday risks or discomforts which require normal safety precautions. There is a mobility (walking) factor associated with position in physically visiting, for observation or problem solving, on-site locations of the users. No special physical demands are required to perform the work. Additional Information Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee.
