Program Support Assistant
Summary The incumbent serves as Program Support Assistant primarily for the Psychology and Vocational Rehabilitation Services and also has additional duties that apply to all disciplines throughout the Mental Health Service and surrounding facility CBOCs. Responsibilities Duties: Provide administrative/clerical support for the service lines Responsible for correspondence, reports, and coordination of projects Receive and screen telephone calls and manages visitors Update handbooks, current policies and procedures as needed for service Provide Human Resources support including processing hiring and promotional requests and personnel actions Point of contact for staff and assists with onboarding of new staff including coordination of schedule and training Responsible for record and electronic management and oversight Provide guidance and training on software applications including Microsoft programs and Outlook Maintain and update SharePoint website for department including posting, editing and creating content Coordinate monthly newsletter including creating and obtaining content with articles and updates from leadership Handle credentialing and license requests and filing adhering to regulations and polices Manage the Basic Life support (BLS) certification and renewal process and compliance standards for staff members Serves as primary purchase card holder for the services Coordinate travel arrangements and itineraries for staff Act as Agent in Place designee coverage and assistance as needed in collaboration with Education service line Assists with special projects in support of policy development and program activities for the service Other duties as assigned Work Schedule: Monday-Friday, 8:00am-4:30pm Telework: ADHOC-May be authorized (Employees who Telework on an occasional, episodic, or short-term, and have completed required telework training and telework agreement). Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/20/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: providing administrative and technical support for the management of various programs; maintaining databases and utilizing various software programs; scheduling appointments and typing a variety of correspondence; maintains credentialing/licensing files; and coordinates travel arrangements.
