Summary This position is located in the VA Caribbean Health Care System VACHS Outpatient Clinics, Home Based Primary Care Programs (HBPC) at San Juan Puerto Rico, and manages the daily operations of HBPC Office including a variety of administrative, research, program management, and serve as a liaison between the HBPC and Information Technology (IT) as well as the administrative assistant to the Chief Nurse for Home and Community Base Services. Responsibilities Major duties and responsibilities include but are not limited to: Provides administrative support to Home Based Primary Care (HBPC). Responsible for the routine clerical, copying and electronic record maintenance for the program, and maintained all required files. Assists in the management of manuals and/or automated information systems. Serve as a liaison between HBPC and Information Technology (IT) for aspect related to computers and electronic devices used in HBPC. Performs primary user support for the Program and diagnostic daily operating problems with electronic equipment, computer software and hardware. Operates personal computer and use software packages e.g., Microsoft Excel, Words, Power Point, Access, Exchange, and Windows Operating System. Request, receives, and coordinates installation for hardware and software. Responsible to assist staff in correcting errors in event capture data entry to assure smooth transmission. Coordinates service requests for software development, modification, or enhancement. Request all computer access, medical equipment, supply and needs for new employee. Preparing minutes and agenda for meeting and conferences call. Assists in conducting reviews and analysis of data reported through multiple systems related to workload, to ensure the information is accurate, timely and available. Responsible for processing and arranging mail delivery. Orders and maintains supplies for HBPC Program. Assist and coordinate medical appointments, maintains schedules, cancelations, waitlists, and checkouts for HBPC patients. Responsible for timekeeping and maintain daily time and attendance for all HBPC Staff. Work Schedule: Monday-Friday, 7:00am-3:30pm Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/27/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Typing Requirement- The Program Support Assistant (Office Automation) requires incumbent to type 40 words per minute (WPM). Driver's License: A current, valid state-issued Driver's License is required for this position. If an interview is requested, you will be required to provide a copy of your current, valid state-issued Driver's License. SELECTIVE PLACEMENT FACTOR(S) 1. Proficient in spoken and writing English Language. 2. Proficient in spoke Spanish Language. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Assists in the management of manuals and/or automated information systems. Collecting, compiling, and tracking facts, data and information program backgrounds for meetings, hearings, briefings, and reports; entering, documenting, and reporting workload data for data validation and performance improvement. Performing primary user support for the program and assist staff in troubleshooting of technology, conducting reviews and analysis of data reporting through various systems relating to workload. Communicating effectively and providing excellent customer service skills to all local and National Home Care Programs, both written and orally. Establishing and maintaining program files and patient records, operating personal computer, and utilizing various software, and computer programs. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is sedentary, requires walking, bending, sitting, standing, and carrying light objects such as papers, books, small parts or driving and automobile. Additional Information Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. Selected applicants may qualify for credit toward annual leave accrual, based on prior work experience or military service experience. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
