We are seeking a Program Support Specialist 2 to join our Security and Electronic Systems (SES) business Unit. As part of (SES) Strategic Business Unit you will be part of a team that designs, engineers, integrates, operates and maintains electronic security services inclusive of intrusion detection, access control, biometric authentication, video surveillance, audio visual, it systems, perimeter defense and command and control systems for federal, local and commercial customers across high-growth markets. 

Clearance/Citizen Type: Requires Secret Security Clearance.

What you’ll do: 

Security Administration Duties Manages the site access process for the Program Team Maintains personnel records including site access statuses, personnel paperwork, and badges. Includes Excel spreadsheets, file management, and email traffic. Sends new program personnel the site access paperwork packet. Works with new program personnel to complete the site access paperwork; includes virtual and in-person support as required. Updates the instructions sheets for site access paperwork. Reports daily and weekly on program personnel clearance status. Works with management to clear any road blocks related to site access or paperwork completion. Works closely with Government counterpart to maintain personnel records and keep up-to-date on site policy changes. Project Deliverable Duties Assist with preparation and submission of project deliverables. Maintain Program files, data, and deliverable archives. Maintain proposal, project and contractual documentation including contract repositories. Assist engineers with research or document creation questions. Update the team calendar with key dates. Ensure Program documentation meets the customer and Program standards. Design, create, lay out, and produce technical documentation, including information sheets, reference guides, briefs, and presentations. Assist with updating schedules, outlines, and templates for various types of proposal and project documentation. Develop and maintain tracking of project deliverable statuses Administrative Duties Record, edit, and revise weekly project meeting minutes documents each week. Document and accurately capture information from meetings, conversations, and presentations. Accurately capture conversations into written technical meeting minutes. Create graphics, figures, tables, and other presentation techniques to optimize impact of information provided. Write, edit, and proofread contract materials in response to client requests and requirements while meeting established schedules and deadlines. Convey complex information and concepts in appropriate fashion to audiences with different levels of technical knowledge. Assist Program Manager in preparation of monthly reports and other financial reports. Procurement Duties Maintain office supplies as needed. Act as a customer liaison and assist with new vendor setup. Receive material in the M.C. Dean procurement system as needed.

 

Key Requirements:

High School/GED with 8+ years of relevant experience or 6+ years with an Associates degree or 2+ years of experience with a Bachelors degree. A minimum of 3 years of business experience with proven experience in a technical field
Experience in professional writing, editing, and document production required. Excellent organizational skills and ability to work well under stress, despite numerous interruptions.  Accuracy and attention to detail.  Ability to work independently and resolve practical problems.  Must be an effective leader with excellent written and oral communication skills. Ability to deal effectively and tactfully with a wide variety of individuals in person, via telephone and in writing.  Must have strong multitasking skills. Must have strong computer skills in word processing, spreadsheets, databases, and interaction with customer portals and advanced knowledge of MS Office Suite. Experience authoring responses to statements of work, staffing plans, past performance sections, management plans, and executive summaries.

Beneficial Skills:

Microsoft SharePoint, Visio, and Project. Adobe software, including Acrobat Professional, Creative Suite Federal and DoD contract experience. Some U.S. Government acquisitions experience. Experience working with Government contract vehicles to include ID/IQs and Multiple Award Contracts (MAC). Knowledge of proposal preparation, contract or pricing functions, contract administration principles, industry practices, regulations and policies.
