**POSITION PURPOSE**
UW Housing & Food Services (HFS) is an integral partner in the University’s drive to provide vibrant student life and educational opportunities. HFS provides students with housing that meets their needs, promotes community, supports their academic success, leadership development and social connections, and facilitates campus engagement. This position assists in the development and management of programs and resources that support and integrate the key programs and operations within Residential Life.
**DUTIES AND RESPONSIBILITIES** Administrative Support
+ Owner of the Residential Life transitions process including the management and execution of the onboarding checklist including requesting access, equipment, and systems needed for new hires and the creation of training schedules for all new full-time employees.
+ Serves as the point of contact for the HFS Central Office Res Life suite for unit partners, for internal and external questions.
+ Serves as a Workday software resource for Residential Life staff and student leaders.
+ Assist in the maintenance of SharePoint pages, resources, and permissions for the unit.
+ Serve on cross functional teams to assist in residential life projects and committees.
+ Create reports used for assessing program effectiveness and functionality.
+ Aid in the management of unit priorities to ensure stakeholders have the necessary resources and support.
+ Provide administrative support to the Business Operations Manager of Residential Life and the Director for Residential Life.
+ Provides written reports and documents such as the Residential Life annual report, budget summaries, and annual performance targets.
+ Provide administrative support to the Residential Life Team, including coordinating meeting arrangements, reserving space, making travel arrangements, and facilitating travel and relocation reimbursements.
+ Participate in recruitment, interviewing, selection, onboarding and off-boarding of Residential Life student leaders, student staff, and full-time staff.
+ Develop and present programs and training on assigned areas of responsibility.
+ Participate in unit wide trainings and events.
+ Coordinates special projects as assigned; performs other duties as assigned.
+ Receive and respond to calls and messages from staff, students and family members, and the public.
+ Receive and respond to public records requests.Financial Management
+ Create estimates and tools used for budget development.
+ Manage the ProCard process for all 35 + Residential Life cardholders by training staff on policies and procedures, distributing weekly transaction reports, and enforcing procurement deadlines.
+ Develop and manage procurement resources including trainings, guides, OneNotes, SharePoint pages and libraries used by unit staff.
+ Serves as the point of contact for all Residential Life staff inquiries regarding ProCard use, general procurement questions, and resolution of procurement issues.
+ Assess the effectiveness of current financial management policies, processes, and procedures to provide recommended changes to future operations.
+ Provide support and coaching to Residential Life staff to ensure that financial policies and procedures, purchasing regulations and compliance, and the management of program funds align with HFS and UW policies and procedures.
+ Directs the planning, implementation, and assessment of all financial management training for full time staff within the Residential Life unit.
+ Processes and submits travel and travel reimbursement requests.Payroll Coordination
+ Oversees the remuneration for 200+ student leaders across 9 distinct remuneration formats including combinations of stipends, housing credits, dining funds, and laundry funds within Residential Life providing all documentation to HFS Payroll, Husky Card Office, and Student Services Office under the direction of supervisor.
+ Calculates proration of credits for student leaders who depart their roles mid-year, and proration of funding for midyear hires.
+ Manages special remuneration process for On-Call student leaders during break periods, provides all documentation to HFS Payroll, Husky Card Office, and Student Services Office autonomously.
+ Resolve remuneration issues by collaborating with unit partners.
+ Provide total compensation reports for student leaders to the Office of Financial Aid.Technology Management
+ Assist in the management of the SharePoint sites and tools, including access, initiatives, content maintenance, training and on-going user support to staff and serving as liaison between student staff and HFS IT as needed.
+ Supports troubleshooting of unit technology, such as phones, laptops, and SharePoint.
+ Serve as a representative of the Residential Life team on select departmental cross-functional teams and projects, including, but not limited to the Residential Life Technology Committee and the InsideHFS Administrators Committee.
+ Audit technology needs for all full-time staff and student leaders/staff within the unit in collaboration with HFS IT.
+ Supports the maintenance of SharePoint pages, resources, and permissions for the unit.Supervision
+ Directly supervise, train, and evaluate full-time staff member in the Program Coordinator for Operations position in Residential Life.
+ Provides guidance and direction to the full-time Residential Life Support Staff team.
+ Supervise up to two (2) student employee Office Assistants in the Residential Life suite in Terry Central Office, up to 39 hours/week. **POSITION COMPLEXITIES** This position manages a program that relies on support and collaboration from units within HFS, the Division of Student Life and the UW. Information systems and applications used by the position impact operations in other areas of HFS. Metrics and data managed by this position are used by Residential Life staff for planning programs, developing annual budget requests and preparing presentations. Much of the work is project in nature, requiring independence, initiative and focus. **WORKING CONDITIONS**
+ Regular weekday office hours, with some travel to campus meetings. This position may require the occasional evening and weekend commitment for special events. **SUPERVISION RESPONSIBILITIES**
+ Supervise Office Assistants working in the Residential Life suite of the HFS Central Office.
+ Supervise Program Coordinator in Residential Life. **REPORTS TO**
+ Business Operations Manager for Residential Life. **MINIMUM REQUIREMENTS**
+ High school graduation or equivalent AND three years of administrative experience OR equivalent education/experience. **DESIRED QUALIFICATIONS**
+ Demonstrated commitment to collaborating with staff and students in delivery of programs and services.
+ Proficiency with SharePoint, creating pages, libraries, workflows and forms.
+ Experience with budget preparation, maintenance and monitoring, and developing new software skills.
+ Strong written and oral communication skills and attention to detail.
+ Success interpreting and communicating complex policies, procedures, and agreements.
+ Proficiency with MS Office applications.
+ Equivalent combinations of education and experience may substitute for requirements. **CONDITIONS OF EMPLOYMENT**
