Job DescriptionAECOM Regina is hiring a Project Administrative Assistant.
The successful candidate will oversee the administrative function for a designated business line and provide additional support as required.
Responsibilities:
Perform a variety of administrative tasks, including preparing and proofreading correspondence, forms, spreadsheets, and documents.Schedule meetings, manage travel arrangements, and maintain office supply inventory.Utilize Word, Excel, PowerPoint, Outlook, and other software to complete tasks.Apply knowledge of industry concepts, practices, and procedures to plan and achieve more complex goals.Work under general supervision to support team objectives.Key Duties:
Support to Business Lead (BL):
Manage and coordinate the BL’s schedule.Prepare monthly management reports using Salesforce and other sources.Schedule and attend planning meetings with the BL to review initiatives, programs, and action items.Coordinate the execution of contracts and other documents.Organize management meetings, ensuring materials are distributed in advance.Handle BL communications, including new hire announcements and project wins/profiles.Team Support:
Provide proactive administrative support to Team Managers, Lead Engineers, Project Managers, and other team members.Complete expense reports in a timely manner.Coordinate travel arrangements for team members as needed.Organize team social functions as directed.Additional Duties:
Provide administrative assistance for ad hoc tasks as required.Maintain confidentiality of sensitive information.QualificationsMinimum Requirements
College diploma with 2+ years of experience in a similar role, OR a university degree in Business/Office Administration or equivalent experience.Preferred Qualifications
5+ years of experience in a similar role.Familiarity with the corporation's business activities.Proficiency in administrative programs and policies.Advanced skills in Microsoft Word, Excel, PowerPoint, and Outlook.Strong communication skills, both verbal and written.Excellent organizational and time management abilities.Ability to work independently with initiative and minimal supervision.Proactive team member with a collaborative mindset.Additional InformationSponsorship for Canadian employment authorization is not available for this positionAbout AECOM
