Project Administrator, Building Construction
You’re an experienced Project Administrator with experience working on complex industrial and commercial construction projects. As an integral part of the project team, you will be responsible for coordinating meetings, document control and change orders under the supervision of the Project Manager, and assisting operations staff with safety and quality control.

Essential Responsibilities

Processes accounts payable (AP) and subcontractor invoices by ensuring invoice packages meet approval requirements; investigates vendor inquiries; distributes cheques and reconciles monthly statementsProvides accounts receivable (AR) support by processing client invoices and applying cash receipts. Assists Project Accountants in collecting payments on past due invoices and providing AR Aging commentsCoordinates the collection of compliance documentation (such as statutory declarations, WCB clearance letters, certificates of insurance) required from subcontractors for release of paymentProvides time capture support for missing or incomplete timesheets and coding correctionsPerforms job cost transfers including labor billing entries and creates journal entries.Reviews purchase orders for accuracyCoordinates and administers the Project Quality PlanMaintains project start-up systems and procedures including job site trailer or office, master filing system, project billings, cost accounting system and project directoryPerforms general administrative and record keeping functions including the review and distribution of documentation; preparation of correspondence and meeting minutes; maintenance of files, logs, drawings, specifications, submittals and RFIsSupports the subcontract management/procurement process through the tendering and awarding of work or supply materials, processes invoices and progress claims and assists with the review of documents and inquiriesCoordinates the change order management process by securing pricing from the vendor/subcontractor, reviewing and inputting the data for project manager review, submitting change requests for approval and following through with subcontract change orders/purchase orders as directedParticipates in the tracking of project milestones; assists with the maintenance of the project schedule and baseline schedulePrepares for project close out by collecting warranties, O&M manuals and occupancy documents; creates turnover documents, demobilizes site and archives documents

Qualifications

2-3 years’ experience working in a Project Administrator, Project Coordinator or similar roleCompleted post-secondary education in Construction, Engineering or related discipline an assetProficiency in MS Office, with intermediate Excel skills for dealing with high volumes of dataBasic understanding of project contract and commercial termsWorking knowledge of construction documents, drawings, specifications and current construction practices and methodologyStrong verbal and written communication skillsStrong computer skills with an aptitude for learning new programs; familiar with scheduling software
