Overview
Colliers Engineering & Design is seeking a Project Administrator to perform tasks that will help us complete and monitor project budgets in our CEI Division. You will be responsible for setting up projects, Project Manager billings, budget monitoring, reviewing project budgets, assisting with collections, and checking project budget input in our accounting system to ensure accuracy. You will also be responsible to confirm each project has an Executed Contract/Signed Resolution, Professional Services Agreement (PSA) or Sub-Consultant Agreement prior to project budget set up. PSA preparation will also be required at contract expiration. Project budgets, strong math skills, a high degree of organizational ability and great communication skills are essential.
Responsibilities
+ Use software to assist Project Managers in managing project budgets.
+ Assist Project Managers with project budget.
+ Track proposals and opportunity pipelines within CRM software, track purchase orders, invoice clients, run various financial reports, revenue recognition, and track and coordinate sub-invoice payments.
+ Ensures work is completed in accordance with FDOT specifications.
+ Coordinate with other departments and other disciplines within the firm when needed.
+ Prepare/review contracts, professional services agreements and sub-consultant agreements prior to signature and follow up on executed agreements.
+ Troubleshoot billing inquiries with clients.
+ Prepare invoice and QA/QC reviews.
+ Administrative work associated with the position.
+ Prepare application paperwork and submit application packages to various agencies, boards, and committees with jurisdiction over project work.
Qualifications
+ A/E/C experience preferred.
+ Associates or Bachelors’ degree in Engineering Technology or related field preferred.
+ 5-10+ years of transportation construction experience.
+ Valid US Driver's License required.
+ Proficiency with the MS Office.
+ Ability to work with multiple project managers and within deadlines.
+ Self-motivated, detailed oriented with strong organizational and time management skills.
+ High level of dependability with a strong ability to prioritize tasks.
+ Ability to work independently and as a team.
+ Ability to work overtime when required.
+ Effective communication skills.
+ Experience with BST software a plus.
+ Experience with CRM (client relationship management) software is a plus.
+ Ability to create and work on spreadsheets/strong Excel skills.
+ Ability to read, write and understand English for purposes of comprehending written job-related communications and verbal instructions and interactions.
