Job Description
We are seeking a Project Administrator to join our team in Surrey. The Project Administrator will support various project teams with clerical functions including but not limited to report creation, schedule management, and document control.
ResponsibilitiesCreating, distributing, and maintaining reports, forms, documents, specifications, standards, and other filesSupporting project teams to ensure smooth project operations, facilitating any administrative project tasks (i.e., meeting minutes, action logs, etc.)Providing high-quality, efficient project documentation, follow-up reminders and any updates that may arise from project meeting action itemsFormatting and editing technical documents using the client's guide and templates, including preparing and updating drawing binders for site visitsFacilitating project close-outs with the projects teamProviding a professional and welcoming atmosphere to guests and co-workers alike at our Surrey office front desk as well as having the flexibility to assist our project teams as neededResponding to internal and external inquiries and requests with tact and diplomacyOverseeing boardroom bookings, coordinating calendars, managing requests, and scheduling meetingsHandling travel bookings and arrangementsPerforming all other project administration and reception duties as requiredEssential Skills5-6 years of administrative experience supporting projects/project managers, ideally from an EPCM environmentProficiency in MS Office: intermediate level with a basic grasp of formulas/functions, SharePoint, Teams, and Acrobat (PDF Conversions)Strong organizational and multitasking skillsProfessional demeanor with excellent interpersonal skillsEffective verbal and written communicationAbility to take initiative and engage with co-workersAdaptability to an agile project-driven environmentAdditional Skills & QualificationsExperience in an engineering or construction environment preferred but not essential (EPCM ideal)A college-level diploma, certification or equivalent in administration or a technical fieldWork Environment
The work schedule is Monday to Friday, 7:30am-5pm, with 37.5 hours per week and 7.5 hours per day. Fridays have reduced hours from 7:30am to 11am. There is a minimum of one Friday work-from-home day per month, with a rotating schedule with other Project Admins. Lunch breaks are 1 hour and unpaid. The work environment includes access to transit and parking.
Pay and BenefitsThe pay range for this position is $26.67 - $31.79/hr.
