Project Administrator
Description We are offering a short term contract employment opportunity in Buellton, California for a Project Administrator. The role involves working within the construction industry, and will require the successful candidate to perform a variety of tasks that ensure the smooth operation of our projects. Responsibilities: + Provide comprehensive administrative support to the construction team, including project managers, engineers, and contractors, to ensure smooth project execution. + Handle and organize essential project documentation such as permits, contracts, and compliance forms, utilizing Adobe Acrobat and DocuSign for efficient electronic signature management. + Coordinate and schedule meetings, both virtual (via Zoom) and in-person, while maintaining clear communication among all stakeholders. + Create, update, and manage construction schedules, reports, and related documentation using Microsoft Excel. + Prepare and maintain daily logs and detailed site activity reports to track work progress effectively. + Facilitate correspondence by managing incoming and outgoing emails, phone calls, and mail using Microsoft Outlook. + Support financial oversight by tracking project budgets, invoices, and purchase orders. + Arrange and confirm appointments, as well as coordinate site visits for the construction team. + Collaborate with team members through Microsoft Teams to ensure seamless project coordination and updates. + Maintain organized and accessible filing systems for project-related documentation, both in physical and digital formats. + Assist in ordering office supplies to ensure an appropriate stock of materials for on-site needs. + Perform additional administrative tasks as required to support efficient site operations. Requirements • Proficiency in Microsoft Outlook is required for managing communications and setting up meetings. • Ability to type over 60 words per minute to ensure speedy and efficient data entry and document creation. • Advanced knowledge of Microsoft Excel for data management, analysis, and reporting is necessary. • Familiarity with Adobe Acrobat for creating and editing PDF documents is essential. • Experience with DocuSign for managing electronic agreements and contracts is needed. • Proficient use of Microsoft Teams for team collaboration, video conferencing, and file sharing is required. • Knowledge of Zoom for conducting virtual meetings and webinars is a must. • Previous experience in the construction industry is preferred to understand industry-specific terminologies and workflows.
