Project Administrator

Description We are seeking a Project Administrator in the Real Estate & Property industry, located in Santa Barbara, California. This role involves managing construction projects, processing customer applications, maintaining accurate records, and resolving customer inquiries.
Responsibilities:
• Process and manage customer credit applications with accuracy and efficiency
• Oversee and maintain accurate customer credit records
• Coordinate the distribution of project plans and tracking logs
• Assist in the preparation and management of bid packages and subcontractor selection
• Prepare contract information, including cost code, scope, and schedule of values
• Create and manage budgets using Excel
• Generate and manage Extra Work Authorization (DEWA) forms based on additional required scope of work
• Handle and distribute Requests For Information (RFI) from subcontractors via Procore
• Manage and maintain the RFI and submittals logs in Procore
• Coordinate tracking of contract labor logs and distribute them to the necessary team members and providers
• Manage and maintain all needed project office supplies and equipment for construction projects
• Assist with project closeout procedures, including archiving project files and assisting with permit documentation
• Set up project utilities as needed and directed by project superintendents
• Conduct quality control walks during the unit completion process and generate punch lists for the finish team
• Provide administrative support for Superintendents and projects
• Ensure compliance with Master Agreement standards, including vendor setup and completion of compliance forms. Requirements • Proficiency in CRM systems, ideally within a real estate or property context.
• Solid understanding and experience with budget processes.
• Excellent communication skills, both written and verbal.
• Familiarity with construction industry, including processes, materials, and regulations.
• Proven experience managing construction projects, ideally in the real estate sector.
• Strong project management skills, including the ability to multitask, prioritize, and meet deadlines.
• Experience with project scheduling, ensuring all timelines and milestones are met.
• Ability to effectively manage relationships with independent contractors.
• Experience in evaluating and approving subcontractor proposals. TalentMatch®
