Job Title: Project Administrator
Job Description

Under direct supervision, the Service Project Administrator is responsible for routine project documentation, materials, job costing, status monitoring, invoicing, and administrative closeout of each project. This position requires close interaction with the Area Service Manager and assigned service team members to ensure the timely completion of each project.

ResponsibilitiesCoordinate with various team members for accurate and timely recording of project costs, including materials, time sheets, labor hour allocation, daily reports, etc.Generate, interpret, and print various assigned reports.Communicate effectively with other team members.Cross-train for coverage of the Resource Coordinator position when staffing needs arise.Engage in daily phone interactions with external and internal customers.Perform data entry tasks and allocate credit card transactions.Run a variety of reports, review and resolve any errors.Upload tax-exempt certificates if applicable.Invoice customers once all costs and charges are confirmed and applied to each service call; request credit approvals if needed.Email invoices (attach required documents) to customers.Research disputed invoices and reach out to customers if necessary for resolution; participate in Disputed Billing Status Update meetings.Essential SkillsProficiency in project managementStrong project coordination abilitiesExperienced in administrative supportSkilled in Microsoft OfficeExcellent communication skillsAbility to multi-taskProactive approach with willingness to work independently as well as part of a teamProven experience in prioritizing tasks to meet tight deadlines within a high-paced environmentAdditional Skills & QualificationsHigh School diploma or GED and up to two (2) years of related experience and/or training; or equivalent combination of education and experience.Excel data entry skillsCustomer service experienceWork Environment

The work environment is within the Service Department, which consists of a small team of four people, including two Resource Coordinators. Administrators primarily work behind the scenes.

Pay and Benefits

The pay range for this position is $20.00 - $25.00/hr.
