Project Assistant
CTG is seeking to fill a Project Assistant opening for our client in Blaine, WA. Location: Blaine, WA Duration: 12 months Job Purpose: Provide professional and efficient administrative and technical support for programs (a suite of projects) or a specific project and cooperative assistance among NW FVC work groups, visitors, and contract companies. Roles & Responsibilities/Accountabilities Provide Program and Project Support for: Program and Project Managers Construction Field Coordinators All other BP staff and contract companies involved with assigned programs and/or project Administration Assist in clerical, filing, printing, building binders/booklets, organizational, and overall general needs. Administer and manage project files, document databases, and all tracking registers; maintain records, filing systems, and all forms of documentation for the team as required. Maintain logs for correspondence, transmittals, drawings, etc. as required by the project. Act as a scribe for program or project meetings as requested; compile action items and submit to supervisors of meetings; take meeting notes and distribute. Liaison between the program and/or project and various BP departments using tact, discretion, respect, and courtesy to develop effective working relationships. Design and/or arrange for project incentive or recognition awards as requested and maintain a detailed tracking method for all incentive programs. Set up the project site office and coordinate office moves for staff and contractors. Set up IT equipment requirements (i.e., computers, monitors, keyboard/mouse, docking stations). Generate Help Desk tickets. Use Outlook to schedule meetings and coordinate calendars/resources. Manage conference room calendars. Set up project distribution lists. Change Management Receive, log, and distribute Request for Information (RFIs) and Change Requests, and follow up for timely response. Document Control Receive, log, and distribute engineering drawing packages and vendor documents as well as Standard Deviation Requests and Submittals; create project Document Distribution Matrix. Work with the site Document Control Center on close-out of project; managing redlines, document checkout and document return; prepare documents for archiving if needed. Work closely with engineering firms to share information and documentation. Train with the KM group on how to effectively manage the SharePoint site and R://Drive. Assist Program and Project Managers with setting up project SharePoint site and maintain. Accountable for program and project specific phone list, organization charts, office charts, training documents, job descriptions, etc. Quality Assurance Assist project QA/QC with the compilation and tracking of packages and other duties as requested; scan completed signed packages to the project file. Procurement and Supply Chain Management (PSCM) Maintain PSCM project files and track documentation for signature. Order all needed supplies for successful program and/or project business standards. Secure meeting space, arrange rooms, and work with BP approved vendors for on and off-site meetings. Human Resources Coordinate new hire on-boarding with Administrative Assistants, Human Resources, and Managers, and follow the checklist designed for tasks to ensure that new hire needs are met and discussed. Coordinate all visitor request approvals. Coordinate all vehicle Drive-In requests. Experience: 5+ years in a Technical, Office, Administration, or Support Role. Excellent verbal and written English communication skills and the ability to interact professionally with a diverse group are required. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, market factors, and where applicable, licensure or certifications obtained.
