Project Co-ordinator
Title: Project Co-ordinator Job Summary: The Project Management Office exists to ensure that projects are delivered on time, within budget, and to the required quality standards. This role involves monitoring project progress, analysing data, managing risks, and providing insights to improve project performance. Key Responsibilities: Project Planning and Coordination: + Assist in the development and implementation of project management methodologies, standards, and tools. + Coordinate project activities and ensure alignment with project objectives and timelines. + Actively participate in the preparation and submission of bids and proposals, where applicable, ensuring alignment with commercial strategies and contractual obligations Monitoring and Reporting: + Track project progress and performance using tools such as Jira, Smartsheet and techniques such as Scrum and DSDM. + Prepare and distribute regular status reports, dashboards, and presentations to stakeholders as per the governance calendar + Identify and escalate issues and risks to ensure timely resolution. Data Analysis: + Collect, analyse, and interpret project data to identify trends, variances, and areas for improvement. + Provide actionable insights and recommendations to project managers and stakeholders. Risk Management: + Identify, assess, and document project risks and issues regularly as per the governance calendar. + Develop and implement risk mitigation strategies and contingency plans in conjunction with the owners of risks and issues. + Monitor and report on risk status and ensure that risk management processes are followed. + Facilitate risk assessment workshops and meetings with system teams and other stakeholders. Documentation and Compliance: + Maintain comprehensive project documentation, including plans, schedules, and reports. + Implement document management policies and ensure adherence by the system team. + Organise and Chair project gate reviews and ensure that gate review conditions are exercised. + Communicate gate review decisions and actions. Communication and Collaboration: + Responsible for the implementation and maintenance of the governance calendar and the TOR’s for the governance forum. + Responsible for the capture, communication and tracking of actions as per agreed due date. + Facilitate effective communication between project teams, stakeholders, and senior management. + Organize and participate in project meetings, workshops, and reviews.
