Project Coordinator

You’ll be at the center of delivering strong customer service to internal and external stakeholders. Will consider full-time or part-time for the right fit. The Geospatial team at Ayres Associates continues to expand its surveying and mapping expertise to a growing client base throughout the US. We are seeking a motivated Project Coordinator to work closely with project managers and their teams and proactively work toward efficiencies in day-to-day operations. Job Responsibilities: + Work closely with office and field staff to provide support on project, client, and general office needs. + Manage files and archive system, make copies, prepare and collate reports, and perform miscellaneous duties. + Assist with project-related documents such as reports, graphics, spreadsheets, contracts, proposals, forms, and letters that adhere to company policy, style, and format. + Perform project financial tracking and project management support + Update business management forms and spreadsheets + Put together project contracts and subcontracts. + Support management team with market research. + Complete special projects as assigned by Leadership Team. Required Qualifications: + Highschool Graduate or GED Equivalent + Ability to maintain a positive attitude and establish a professional, welcoming, and inclusive environment. + Strong communication, analytical, and problem-solving skills. + Dependable, organized, flexible, and the ability to multi-task. + A minimum of two years of administrative assistant experience. + Ability to write, edit, and proofread written materials, which could include letters, reports, and contracts. + Proficient in MS Suite to create and import tables, charts, and graphics. + Proficient in Adobe software, including PowerPoint. Desired Skills and Experiences: + Professional maturity: strong emotional intelligence, integrity, and ability to interact in a professional environment, occasionally with tight deadlines. + Ability to work effectively both independently and as part of a team. + Proactive approaches to problem-solving and organization and a proven ability to quickly learn new systems and processes. + Experience with software such as SmartSheet, Adobe Suite, InDesign, Microsoft Project, and Deltek Vision beneficial, but not required. + General financial/accounting experience a plus. + A basic understanding of the engineering/construction industry or previous experience working for a professional services organization would be a plus, but not required.
