Overview:
Responsibilities:Financial Tracking: Manages and coordinates all activities necessary to control, track, and audit changes in scope and/or contractual deliverables. Responsible for tracking show and event budgets, capital spend, travel expenses, and maintaining internal tracking models that are used by leadership when making strategic decisions on Live Entertainment Programming across the portfolioProject Coordination: Updates project timelines, logs milestone dates, manages task lists, prepares and tracks status of purchase and contract submittals, coordinates project meetings, provides written documentation of meeting minutes. Utilizes Microsoft software for scheduling and cataloguing deliverables. Creates PowerPoint presentations for specific projects and initiatives. Collaboration/Planning: Vendor, contractor, corporate and department communications and updates via email, file sharing, verbal communication, etc. Coordinating and scheduling projects, visits, and inspections. Miscellaneous: Prepares deliverables for all creative workshops, generates fillable templates for Entertainment Operation usage, organizes SOP documentation, creates and submits internal expense reporting.
Qualifications:Associate's degree /vocational or technical school in Entertainment/Business administration or related field2-4 years work-related experienceInstructional Design or comparable certification (such as ID Cert with ATD) Microsoft Applications: Outlook, Excel, Word, Teams, PowerPoint/Adobe PDF/Canva/Smartsheets
The primary purpose of this position is to play a critical role by ensuring efficiencies within a growing portfolio of Live Entertainment projects. . It is also critical for this position to provide support for Live Entertainment projects and operations and to ensure proper financial project tracking, management of portfolio wide deliverables, scheduling, and contract processing.
