Additionally, they support the Program Director and Project Managers in scheduling, managing meetings, and preparation. **Job Description** We are seeking a **Project Coordinator** to manage the risk footprint and monitors activity across the programs to provide a rolled-up program view. They enable the program manager to excel in execution and focus on challenge follow-up. Additionally, they support the Program Director and Project Managers in scheduling, managing meetings, and preparation. **This position is full-time, hybrid, and a W2 contract renewing on a semi-annual basis.** **What You’ll Do** + Organize and manage the IT New Build project team meeting calendar + Run New Build meetings, take meeting minutes, and communicate outcomes to attendees + Follow up on open issues and facilitate their closure + Manage travel schedules for all IT New Build resources to/from the shipyard(s) + Create and manage requisitions and ensure timely approval for both requisitions and purchase orders + Work with the New Build team on labor capacity planning to ensure program demands are reflected in sourcing requirements submitted to the IT PMO for allocation + Coordinate meetings with IT shipboard product teams to confirm resource allocation + Manage local contracts and engagement with port agents and the Hotel Start-Up team to ensure accommodations for onsite resources + Develop presentations for the project-specific Steering Committee and manage collaboration with project managers + Support the integration of various tools to reduce analyst duplication of efforts + Collaborate with the New Build PMO team to manage staff onboarding, offboarding, on-site events, and orientation activities + Support the Project Management team in various project activities **What You’ll Need** Required: + Strong leadership skills with proven experience in engaging with people and managing travel + Experience in large-scale IT-focused programs and projects + Basic knowledge of project management practices + Demonstrated experience in the administration of project activities + Ability to quickly adapt to shifting priorities and align activities to meet project goals + High degree of creativity with strong analytical and problem-solving skills, able to operate under stressful, time-sensitive deadlines + Excellent communication, facilitation, negotiation, and presentation skills + Solid organizational skills, including attention to detail and multitasking + Ability to work independently with limited supervision + Willingness to travel (up to 20% of the time) + Proficiency in Microsoft Office (MS Word, Excel, PowerPoint) and Webex + Bachelor's degree in a related area and/or equivalent experience/training + 3+ years of experience in an information technology environment + 3+ years of Project Analyst experience + 3+ years of advanced knowledge/experience with EXCEL Desired: + Knowledge of Workfront and JIRA is a plus **Physical Demands:** + Ability to safely and successfully perform the essential job functions consistent with the ADA and other federal, state and local standards + Sedentary work that involves sitting or remaining stationary most of the time with occasional need to move around the office to attend meetings, etc. + Ability to conduct repetitive tasks on a computer, utilizing a mouse, keyboard, and monitor **Reasonable Accommodation Statement** If you require a reasonable accommodation in completing this application, interviewing, completing any pre-employment testing, or otherwise participating in the employment selection process, please direct your inquiries to application.accommodations@cai.io or (888) 824 – 8111. **Equal Employment Opportunity Policy Statement** It is the policy of CAI not to discriminate against any employee or applicant due to race, color, religion, sex, sexual orientation, gender identity, national origin, age, marital status, genetic information, disability or being a protected veteran.
