Project Coordinator
Description We are offering a long-term contract employment opportunity for a Project Coordinator in Palo Alto, California. This role is in the industry of customer service and communication and will involve coordinating projects and activities, managing resources, and serving as a liaison to customers and other departments. Responsibilities: • Lead and coordinate projects, ensuring all phases are documented properly. • Maintain strong relationships with support departments as well as vendors. • Oversee the allocation of equipment and supplies, facilitating periodic inventory review. • Manage and coordinate departmental project activities. • Facilitate individual workshops and committee meetings, presenting results as required. • Provide expertise in administrative processes and ensure a smooth flow of paperwork. • Coordinate hiring new employees, including initial department orientation and review of departmental compliance courses. • Manage events as the Events Coordinator. • Handle requests for support from departments such as communications, housekeeping, and engineering and maintenance. • Ensure that new hires have resources as needed, coordinating the installation and maintenance of data and phone communication. • Participate in projects as assigned and complete them within requested timeframes. Requirements • Proven experience in a project coordination role or similar • Strong customer service skills and the ability to manage key stakeholder relationships • Excellent communication skills, both written and verbal • Proficiency in office functions and administrative duties • Ability to generate and interpret reports using data analysis tools • Proficiency in Microsoft Excel, Word, and PowerPoint • Knowledge of procedural and policy compliance within an organizational setting • Experience in planning processes and project lifecycle • Commitment to quality and review processes • Basic understanding of Human Resources (HR) administration • Familiarity with the software tool 'About Time' or similar project management tools • Demonstrated leadership skills and the ability to manage a team • Experience in hiring processes and talent management • Familiarity with vendor management and negotiation • Ability to handle paperwork and administrative tasks effectively • Experience acting as a liaison between different teams or departments • Basic knowledge of engineering principles would be advantageous • Excellent time management skills and the ability to prioritize tasks effectively • Experience in Clinical Trial Operations is preferred but not essential • Ability to scan documents and manage digital and physical file systems.
