Project Coordinator
Job Title: Project Coordinator The Project Coordinator position is responsible for processing orders for merchandise received by mail, telephone, fax, email, or personally from customers or company employees. This role reports to the Project Manager and is nonexempt. About the Role: The Project Coordinator will handle order processing for merchandise received through various channels. Key responsibilities include reviewing orders for accuracy, entering orders into SAP, computing costs and commissions, informing customers of updates, ensuring paperwork accuracy, and preparing production documents. This role also involves maintaining customer databases, following up on orders, and supporting customer requirements throughout the project lifecycle. Essential Functions: - Review orders for price and quantity accuracy. - Build relationships with Sales Representatives to understand customer expectations. - Enter orders into SAP and maintain project documentation. - Compute costs, commissions, taxes, and shipping charges as required. - Inform customers of updates and support them throughout the project lifecycle. - Ensure all paperwork is accurate and follow up as necessary. - Print order documents for review by the Customer Service Manager. - Confirm material allocation or ordering and follow up on material arrival dates. - Prepare production documents and ensure timely delivery of orders. - Check shipping orders for accuracy and update freight costs. - Specify special labeling or packaging requirements and communicate with relevant departments. - Prepare customized reports, KPIs, and correspondence. - Record customer complaints and work to improve customer experience. - Expedite or trace missing or delayed shipments. - Learn customer processes and tools to support their requirements. - Maintain and update customer contact information in SAP. - Follow up with customers regarding project status.
