As a Project Coordinator in our client's woodworking manufacturing facility, you will be vital in supporting Project managers and production teams. Your responsibilities will range from the initial planning stages of projects to their completion. You will ensure smooth workflows, effective communication, and strict adherence to quality standards and deadlines.
Key Responsibilities:
1. Project Coordination:Develop and maintain project timelines using project management softwareSchedule and attend project meetings, taking and distributing minutesMonitor project progress and alert managers to potential delays or issues2. Documentation Management:Create and organize project files, both physical and digitalMaintain up-to-date project documentation, including specifications, drawings, and change ordersEnsure all team members have access to the latest project information3. Material and Inventory Management:Assist in creating bills of materials for projectsPlace orders for required materials and track deliveries with purchasing managerMonitor inventory levels and assist with stock reconciliation4. Communication and Liaison:Act as a point of contact for internal teams, suppliers, and clientsFacilitate information flow between different departmentsEscalate issues to appropriate team members or management5. Reporting and Analysis:Compile data for project status reportsPrepare presentations for client meetings and internal reviewsAssist in analyzing project performance metrics6. Quality Control Support:Help implement and maintain quality control proceduresAssist in conducting quality checks at various project stagesDocument and report quality issues for resolution7. Financial Management:Help track project expenses and update budget spreadsheetsAssist in preparing invoices and processing paymentsFlag any budget discrepancies or overrunsRequirements:Education: Associate degree in business administration, construction management, or a related field.Equivalent experience as a red seal tradesperson may be considered.• Technical Skills:Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)Ability to read, interpret, and analyze architectural and shop drawingsExperience with project management softwareFamiliarity with CAD software is a plus• Knowledge:Basic understanding of woodworking processes and terminologyFamiliarity with construction or manufacturing project lifecyclesKnowledge of safety regulations in a manufacturing environment• Soft Skills:Excellent organizational and time management skillsStrong written and verbal communication abilitiesDetail-oriented with a focus on accuracyAbility to multitask and prioritize in a fast-paced environmentTeam player with a proactive attitude• Experience:1-2 years of experience in a similar role preferredPrevious exposure to woodworking or manufacturing environments is a plus
